Job Description
The position is located in Sells, AZ.
Position Summary:
Under general supervision, performs general accounting duties, which includes the processing and maintenance of general ledger records processes and accounts by processing all invoices payable by the Tohono O'odham Nation to ensure compliance with all nations disbursement policies, procedures, and guidelines.
The work is normally reviewed upon completion, with occasional spot checks while in process, to ensure accuracy, timeliness and conformance to established standards; major work tasks are covered by instructions or procedures and unusual situations are referred to a supervisor.
Essential Duties and Responsibilities (Depending on area of assignment, incumbent may not be required to perform some of the duties listed below):
- Applies general accounting principles relating to the payment of valid obligations of the Nation verifies figures on invoices, purchase orders and payment vouchers.
- Maintains and manages a portfolio of assigned vendors; periodically updates assigned vendor contacts and related information; ensures that assigned vendors are properly established within the accounting systems; and ensures all vendor accounts are current.
- Reconciles bank statements; maintains bank statements, vendor invoices and related financial records on file.
- Maintains accurate file and retrieval system according to established procedures; sets up files system as instructed.
- Maintains confidentiality when handling financial records or documents.
- Prepares documents for payments; matches encumbrances with documents submitted for payments from Districts, Branches and Departments.
- Prepares and allocates the costs of departmental monthly billings.
- Obtains appropriate signatures for check processing and mailing to Nation's vendors.
- Verifies mail log for checks received in the incoming mail.
- Files and maintains returned checks.
- Gathers and researches the Tohono O'odham Nation's per capita payouts and finalizes reports to appropriate personnel according to established timelines; processes and maintains all verification of gaming per capita payments and related documents.
- Assists in the preparation and issuance of tax reporting documents.
- Assists in the organization and compilation of financial information for auditing.
- Enters and post journal voucher and vendor payments.
- Accurately scans, indexes, and files all financial documents into an electronic filing system, i.e., journal vouchers, bank statements, purchasing documents and invoices.
- Performs other job-related duties as assigned and contributes to a team effort.

Minimum Qualifications:
Associate's Degree in Business, Accounting or closely related field and two years' work experience in financial recordkeeping, or an equivalent combination of training, education, and work experience which demonstrates the ability to perform the duties of this position.
Licenses, Certifications, Special Requirements:
- Upon recommendation for hire, a criminal background check is required to determine suitability for hire, including a 39-month Motor Vehicle Record.
- May require possessing and maintaining a valid driver's license, (no DUIs or major traffic citations within the last three years).
- If required, must meet the Tohono O'odham Nation tribal employer's insurance requirements to receive a driver's permit to operate program vehicles.
- Based on the department's needs, incumbents may be required to demonstrate fluency in both the Tohono O'odham Language and English as a condition of employment.
Physical Demands:
While performing the duties of this job, the employee is regularly required to talk or hear. The employee is frequently required to stand and sit; walk; use hands to finger, handle, or feel; reach with hands and arms. The employee must occasionally lift and/or move up to 20 pounds.
