Job Summary
Responsible for all assisting with all accounting functions including AR/AP, payroll and general administration. While the employee in this position may or may not directly manage employees, the role is responsible for coordinating between department managers to ensure timely and accurate invoicing and payment collection, vendor billing and vendor payments, time sheet entry and payroll process and various reporting functions. Employees in this role are expected to advance in the role by taking ownership of certain accounting functions from their direct manager.
Pay Range: $40,000 - $55,000 per year

Requirements:Responsibilities and Duties
- Customer Invoicing, Payment Receipts, Collections and Customer Account Maintenance
- Collect all information needed to calculate bills receivable (work order details, order amounts, discount rates etc.) cross-checking for all related costs
- Enter and issue invoices and bills and send them to customers through various channels (mail, e-mail etc.)
- Receive payments through various methods (cash, online payments etc.) and check for credibility. Record the payments and make electronic or physical deposits
- Issue customer account statements periodically or whenever necessary (monthly, ad-hoc etc,)
- Contact customers by phone and send electronic or paper reminders to collect overdue payments and contact customers when assigned
- Update accounting records with new payments, balances, customer information etc.
- Research, track, and resolve accounting problems including answering questions and handling complaints from customers regarding bills
- Vendor Billing and Payment Processing
- Enter vendor bills and check for accuracy. Elevate any concerns or issues as necessary.
- Process bills for payment including issuing checks and prepare any required supporting detail for manager to review and sign checks
- Reporting and Statutory Filings
- Report on activity to upper management by providing certain components of the Monthly Management Reporting package
- Assist department manager with preparation, filing and paying Monthly, Quarterly and Annual Sales Tax and other related taxes (OPT, personal property, etc.)
- Month End Closing
- Assist department manager Bank and Vendor Statement Reconciliations
- Training and Ad-Hoc
- Provide training to new and existing staff as needed
- Advises staff regarding the handling of non-routine reporting transactions.
- Responds to inquiries from the Director of Finance, Controller, and other finance and firm wide managers regarding financial results, special reporting requests and the like
- Reporting
- Ensure an accurate and timely monthly, quarterly and year end close.
- Ensure the timely reporting of all monthly financial information

- Proven accounting experience, preferably as an Accounts receivable clerk or Accounts payable clerk is a plus
- Familiarity with bookkeeping and basic accounting procedures
- Competency in MS Office, databases and accounting software
- Hands-on experience with spreadsheets and financial reports
- Accuracy and attention to detail
- Aptitude for numbers
- Ability to perform filing and record keeping tasks
- Data entry and word processing skills
- Well organized
- High school degree required. Associate’s degree or relevant certification is a plus
