Position Summary:
We are seeking a detail-oriented, highly organized, and versatile Accounting Specialist/HR Administrator to join our team. This role will focus on managing accounting functions such as accounts payable (A/P), accounts receivable (A/R), general ledger (G/L), and audits, as well as providing comprehensive support in human resources functions. The ideal candidate will have a strong background in both accounting and HR, with the ability to seamlessly balance multiple responsibilities and ensure smooth operations in both areas.
Key Responsibilities:
Accounting Duties:
- Accounts Payable (A/P): Process, verify, and reconcile vendor invoices, ensuring timely and accurate payments.
- Accounts Receivable (A/R): Monitor and process customer payments, assist with collections, and reconcile A/R accounts to ensure accuracy.
- General Ledger (G/L): Maintain and reconcile general ledger accounts, ensuring proper accounting entries for both A/P and A/R transactions.
- Bank and Credit Card Reconciliation: Reconcile cash and credit card transactions to bank statements, investigate discrepancies, and ensure accurate reporting.
- Audit Support: Assist in preparing for internal and external audits, providing necessary documentation, and supporting auditors with data requests.
- Financial Reporting: Generate and assist in monthly, quarterly, and annual financial reports, ensuring accuracy and timeliness.
Human Resources Duties:
- Hiring & Onboarding: Support recruitment efforts, including posting job openings, screening candidates, scheduling interviews, and assisting with the onboarding process.
- Training: Coordinate training programs for new hires and existing employees, maintaining records of completed training sessions.
- Payroll Administration: Assist in processing payroll, including the entry of employee data, ensuring correct wage calculations, deductions, and benefits administration.
- Pre-Employment Screening: Coordinate background checks, reference checks, and drug screenings for potential hires.
- Benefits Administration: Assist in managing employee benefits programs, including health insurance, retirement plans, and other employee perks, ensuring employees have access to up-to-date benefits information.
- Employee Records Management: Maintain and update employee files, ensuring compliance with company policies and legal regulations.
Other Responsibilities:
- Provide general administrative support to the finance and HR departments.
- Assist in the preparation of compliance reports and documents as needed.
- Collaborate with management to ensure both accounting and HR functions align with organizational goals and compliance requirements.
- Manage confidential employee and financial information with discretion and integrity.
