We are seeking a full-time property management and accounting Admin Assistant to support the Finance and Property Management team in all aspects of our day to day management of our healthcare real estate portfolio.

Duties and Responsibilities
Assist in tenant outreach regarding the collection of rents, posting late fees and sending late notices. Reporting daily collection progress to property managers.
Assist property managers with responding to tenant needs, including fielding service calls, coordinating and dispatching vendors to handle building-related issues, as needed.
Review GL coding and description of vendor invoices pursuant to operating budget for Property Managers approval.
Follow up vendors for any outstanding invoices, including resolving questions on invoiced items.
Prepare vendor service contracts as directed. Assist in requesting vendor quotes.
Process semi-monthly check runs and mailing of check payments to vendors.
Assist in investigating and resolving monthly bank account reconciling items.
Work closely with Accounts Payable and Finance teams for month end closing process, including preparing budget to actual variance analysis and explanations.
Maintaining company electronic records organized, including tenant leases and vendor files, and Certificates of Insurance, among others.
Enforcing compliance of tenant reporting requirements per the lease agreements. Requesting documentation from the tenants.
Assist Finance and Property Management team with the annual budgeting and forecasting process.
Assist with any other duties and ad-hoc projects as needed.

Willing to learn new skills, specifically accounting and financial.
Strong skills in data entry, bookkeeping, generating reports and tracking ongoing projects.
General understanding of commercial leases.
Previous experience in Property Management/Real Estate a plus.
Proficient in MS Office.
Professional working proficiency in Spanish a plus.
General knowledge and experience with Yardi Software a plus.
