Accounting Clerk

Summary:

Under the supervision of the Controller/Accounting Administrator, the Accounting Clerk is responsible for maintaining the general ledger, maintaining financial records and reports, performing account reconciliations, assisting with budget and close processes, conducting internal audits, maintaining documentation, and responding to information requests by management and for auditing purposes. This position is responsible for ensuring compliance with various accounting principles and regulations to include, but not limited to: Generally Accepted Accounting Principles (GAAP), Office of Management (OMB) cost principles, and the Code of Federal Regulations (CFR).

Salary: $20.00 - $22.00 per hour (Non-Exempt)

Essential Duties:

  1. Provide accounting and clerical support to the accounting department.
  2. Record Accounts Payable invoices in MIP accounting system.
  3. Prepare bank deposits as needed.
  4. Reconcile daily cash transactions to bank activity across multiple bank accounts and researching and resolving any variances noted. Review cash receipt and payment posting transactions for proper coding and allocation.
  5. Reviewing daily cash receipts for incoming ACH and wire sources and matching the deposit totals to the supporting documents. Resolving discrepancies between actual amounts received
    vs. support provided primarily through written and verbal contact with other departments or the bank. Posting ACH and Wire transactions to the general ledger.
  6. Maintain expense allocation templates
  7. Sorts documents; codes, logs, reviews for accuracy; matches supporting invoices to procurement documents; and verifies invoices for payment.
  8. Prepares routine entries and posts financial transactions; reconciles entries and internal ledgers to financial reporting system reports.
  9. Acting as a liaison between the Department Managers/Program Administrators to coordinate
    efforts in meeting fiscal year-end deadlines.
  10. Responding to information requests, reviewing financial statements, and assisting with audits.
  11. Assist in special projects and perform other duties as assigned.
  12. Punctual and Regular Attendance.

Reports to: Controller (Directly) CFO (Indirectly)

Minimum Qualifications:

  1. Associate’ Degree with major/focus in finance, economics, statistics, or business administration or equivalent experience.
  2. At least two (2) years’ experience in a complex financial support position with responsibilities for budgets, and which includes experience with business analytics, demonstrable excellence in Microsoft applications (Word, Excel, and PowerPoint)
  3. Demonstrated ability to coordinate complex management tasks, to work independently, and to balance multiple priorities
  4. Working knowledge of GAAP.
  5. Strong numeracy and analytical skills.
  6. Promote a positive attitude and professional work ethic at all times when interacting with managers, employees, etc.
  7. Ability to promote a positive team-oriented atmosphere
  8. Ability to maintain confidentiality
  9. Ability to perform specialized technical and clerical functions.
  10. Ability to be organized and produce accurate results while meeting established deadlines.
  11. Ability to manage multiple priorities with frequent interruption.
  12. Background Fingerprint Clearance
  13. Drug Test Clearance
  14. At least three years of experience in the capacity of financial administrative support in a similar non-profit organization
  15. Demonstrated knowledge of budgetary process and analysis
  16. Demonstrated experience developing and implementing administrative policies and procedures
  17. Two years of demonstrated successful experience in a financial setting that includes concrete work experience such as tracking and analyzing budget trends, applicable use of Excel functionality such as pivot tables and VLOOKUPS.

Licenses & Certifications:

  • CA Driver’s License, reliable transportation, and current automobile insurance
