Growing and dynamic company in the Entertainment sector is looking to hire MULTIPLE Office and Accounting Coordinator's w/Payroll and QuickBooks knowledge

Hours: 9am to 5:30pm
Parking: Provided off site in Gardena, CA – company has shuttle bus that picks up/drops off employees daily

SKILLS REQUIREMENTS:
• At least 1+ years of related experience in accounting and finance
• Accounting or Finance graduate or bookkeeping certification
• At least 1+ years of office administration experience
• Proven experience in Accounts Payable, bookkeeping, office coordination and scheduling
• Proficient with payroll and accounting software (QuickBooks Online) (T-Sheets, SAP Concur – A PLUS)
• Strong communication skills and the ability to handle multiple tasks efficiently

COMPUTER REQUIREMENTS:
• Proficient in Mac computer (company does not use PC/Windows OS)
• Microsoft Word & Excel

JOB RESPONSIBILITIES:
Office Maintenance and Vendor Coordination
• Responsible for the daily maintenance, scheduling, payroll coordination, accounting support, and administrative tasks essential to the smooth functioning of our New York office
• Managing vendor relationships, supporting team members, and ensuring compliance with company policies and local regulations
• Oversee office maintenance, ensuring all equipment (e.g., printers) remains in working order
• Liaise with Operation Manager for efficient scheduling, mileage tracking, pickups, returns, and receipts

Scheduling and Payroll Coordination
• Collect event details from producers weekly to create and manage crew schedules in T-Sheets
• Develop and post accurate schedules for crew members by Thursday/Friday each week
• Adjust schedules based on operational needs, including last-minute changes and additional shows
• Track crew attendance and address scheduling conflicts
• Approve payroll data weekly in compliance with state laws and company policies, ensuring accurate and timely payroll processing
• Process and submit timesheet edits and corrections to HR

Accounts Payable
• Classify, post, and manage vendor invoices, credit card transactions, and recurring expenses
• Maintain organized records of vendor accounts and request updates for Certificates of Insurance (COI) from vendors as needed
• Communicate and coordinate with vendors to address inquiries, complaints, payment concerns & negotiate payment terms
• Track purchases and maintain records in Concur for the NY Operations Manager
• Manage out-of-pocket reimbursement and mileage reports for NY shops, verifying job codes, receipts, and calculations before posting to QuickBooks
• Process payments, reconcile vendor invoices, and handle employee reimbursements and per diem

ADMIN SUPPORT:
• Assist with recruiting tasks, including providing job applications as needed
• Coordinate with IT and HR for new employee setup and assist with office calendar updates
• Support permit applications and assist with employee recognition activities (birthdays, holiday gifts)
• Assist accounts with key vendors (FedEx, Amazon, Staples) and oversee office supplies inventory
• Assist distribution of event items, manage staff recognition gifts, and administer the company swag program, including tracking sizes and inventory

PHYSICAL DEMANDS:
• Must be able to work occasionally weekends, and holidays
• Typical weeks require a 40-hour commitment
• Heavy lifting required up to 50lbs
