Job Description
Robert Half is in search of a top-notch Executive Assistant to add some dynamism to our non-profit client based in the Philadelphia area. Be prepared for a role brimming with intricate scheduling, overseeing daily operations, and synchronizing various organizational activities. The ideal Executive Assistant will be successful if they have excellent verbal and written communication skills and the ability to perform multiple tasks within set deadlines.
Responsibilities:
- Manage complex calendars arrangements including scheduling and coordinating meeting logistics.
- Act as point of contact for Board meeting preparation including scheduling, correspondence, document preparation, etc.
- Act as a liaison between departments and their administrative teams.
- Respond to all incoming correspondence.
- Distribute and sort incoming and outgoing mail, copying, faxing, filing, correspondence, etc.
- Book travel and coordinate accommodations and other travel logistics.
- Support coordination of all operational issues for all executive-level meetings, programs, events, or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speakers, and controlling event budget.
- Manage departmental contacts and other data input and collection in the CRM platform.
- Generate reports, correspondence to donors, and other basic documents.
- Facilitate monthly administration meetings.
- Assist the department with special projects as necessary, including department-wide and smaller group events.
- Process invoices, receipts, and documents, as related to expense reports.
The ideal Executive Assistant candidate should have a Bachelor's degree or equivalent combination of education.
Other requirements for the Executive Assistant position include and are not limited to:
- 4+ years of C-Level and/or board experience
- Non-profit or higher education industry experience preferred
- Experience with meeting management, travel arrangements, event planning
- Expert-level proficiency with Microsoft Office Suite and other basic software tools, with a particular emphasis on Outlook proficiency.
- Strong written and verbal communication skills and demonstrated ability to clearly and effectively communicate across all levels.
- Proficiency supporting and collaborating with executive staff.
