Job Description
We are offering a long-term contract employment opportunity for an Executive Assistant in Louisville, Kentucky. This role is primarily within the healthcare industry and entails supporting high-level executives and physicians. The workplace offers a flexible hybrid schedule to accommodate various needs. The Executive Assistant will be able to work 90% remotely, however, must reside in or near the Louisville, KY area. The Executive Assistant must have the ability to work a flexible schedule as they may need to be available as early as 7 am or stay as late as 6:30 pm.
Responsibilities of the Executive Assistant:
• Managing calendars meticulously, which includes scheduling meetings, coordinating invites, and reserving necessary resources.
• Reviewing invoices and directing them to the appropriate department for further processing.
• Undertaking project-based work, contributing to various initiatives as needed.
• Utilizing software like Microsoft Outlook, Excel, Word, PowerPoint, Teams, and Workday to perform tasks efficiently.
• Supporting a team of directors and practice managers, assisting in their administrative needs.
• Maintaining precise records and processing customer applications with accuracy.
• Handle confidential information with discretion and in compliance with company policies and procedures
• Composes, transcribe, proof, and/or edit letters, memos, and various documents in a timely and accurate manner
• Process and submit expense reports.
• Attend all board meetings and take meeting minutes.
• Proficiency in Calendar Management is required to efficiently manage schedules and appointments.
• Must be able to Coordinate Meetings, including setting up, preparing materials for, and following up after meetings.
• Proficiency in Microsoft PowerPoint is required for creating and editing presentations.
• Familiarity with Microsoft Teams is necessary for effective internal communication and collaboration.
• Proficiency in Microsoft Outlook is required for email communication and scheduling.
• Strong Administrative Skills are necessary for managing daily office tasks.
• Excellent communication and organizational skills.
• Must have previous Executive Administrative Experience, showcasing the ability to support office operations and staff.
