We are inviting applications for the position of Sr. Executive Assistant in Miami, Florida. This role involves providing high-level administrative support, managing executive workflows, and maintaining effective relationships with internal and external stakeholders. This is a contract to hire employment opportunity in a dynamic and fast-paced environment.

Responsibilities:

• Administer high-level support to the President & CEO, ensuring efficient management of tasks, schedules, and priorities.
• Oversee the executive's calendar, schedule meetings, manage appointments, and ensure the executive's time is effectively allocated.
• Handle incoming issues and concerns addressed to the executive, including those of a sensitive or confidential nature, and prioritize them based on urgency and importance.
• Assist in the successful completion of projects and special assignments by establishing objectives, managing time, monitoring progress, and making necessary adjustments.
• Prepare and research presentations that align with the executive's style and professional standards.
• Coordinate logistical arrangements for virtual and in-person meetings.
• Build and maintain positive work relationships with corporate management, industry leaders, and other stakeholders.
• Manage travel arrangements including transportation, lodging, and meeting accommodations.
• Handle all office mail and packages and process office invoices.
• Manage general office duties, including ordering supplies and managing office gifting.
• Must be bilingual, proficient in both English & Spanish (written and verbal).

• Proficiency in ADP - Financial Services

• Experience with Cisco Webex Meetings

• Familiarity with Concur software

• Bilingual Spanish

• Knowledge of Kronos Timekeeping System

• Proficiency in About Time software

• Excellent calendar management skills

• Strong communication skills

• Ability to handle conference calls

• Proficient in managing correspondence

• Prior experience in a similar role as an Executive Assistant

• Ability to maintain a high level of confidentiality and discretion

• Excellent problem-solving skills

• Ability to multitask and prioritize tasks
