United Utility Supply is looking for an Executive Assistant to support our leadership team. This position will work directly with the VP of Sales and Operations, as well as other team members from the organization. This role will assist with communication (phone, email, in person), calendar management, travel arrangements and staff assistance. The Executive Assistant will also assist with company initiatives for meetings, trade shows and the distribution of promotional materials. They may also help with creating presentations, managing spreadsheets and be responsible for creating correspondence for the company.

Duties and Responsibilities are as follows:

  1. Provides administrative support directly to the VP of Sales and Operations
  2. Be accountable for setting up meetings both virtually and in person for UUS team members; including making copies, having snacks/drinks available, ordering lunch if needed, creating agendas, registration materials, etc.
  3. Obtain travel, hotel, or dinner reservations as needed
  4. Create, help create and edit PowerPoint presentations for team as needed
  5. Assist with the creation and distribution of organizational reports
  6. Serve as liaison between board members and staff as needed including communications to Cooperative customers
  7. Assist with annual UUS member meeting dates, including sending out notices and compiling list of expiring terms for each state
  8. Serves as Assistant Corporate Secretary for UUS organization responsible for the minutes of formal and board meetings
  9. Responsible for ordering team supplies in UUS offices

Our ideal candidate will have some college; bachelor's degree preferred, have 2 year's experience as an Assistant to a leadership/executive role, possess good communication skills including the ability to handle/resolve complaints or adversarial situations, obtain/maintain a valid driver's license, have Microsoft Office applications experience and be willing to travel up to 15% as required.
