ABOUT THE ROLEWe're looking for an experienced Executive Assistant to support our founding team. As the first hire in this role, you'll provide essential administrative and operational support to help our growing team run smoothly. You'll manage San Francisco office duties, help facilitate new hire onboarding, support team travel logistics, assist with scheduling, and own a range of high-level administrative tasks. This role requires someone organized, detail-oriented, and able to prioritize in a fast-paced, dynamic environment.

THE RESPONSIBILITIES

As a fast-growing team (45 employees and counting), we expect the responsibilities of this role to evolve over time. Here are some of the areas where you could have an immediate impact:
  • Executive scheduling and calendar management: Manage the calendars of the CEO and CTO to optimize time, schedule key meetings, and ensure effective prioritization.
  • Company-wide offsite planning: Organize biannual company-wide offsite events, handling travel, accommodations, event spaces, and team activities.
  • Office operations: Oversee San Francisco office operations, including logistics, facilities, and occasional support for the New York team.
  • Employee travel coordination: Streamline travel policies, approve travel requests, and coordinate logistics to ensure cost-effectiveness.
  • Team building and employee celebrations: Plan team activities and celebrations, managing budgets for recognition and morale-building events.
  • Meeting preparation and follow-up: Prepare agendas, gather materials, provide pre-briefings, and document action items to improve meeting outcomes.
THE REQUIREMENTS
  • 3+ years of experience as an Executive Assistant or Office Manager, preferably in a fast-paced startup environment.
  • Strong organizational skills with the ability to multitask and prioritize.
  • Detail-oriented with the ability to anticipate the needs of executives and the team.
  • Proactive, adaptable, and able to thrive in a rapidly changing environment.
  • Excellent verbal and written communication skills.
  • Proficiency in Google Workspace, Slack, and other collaboration tools. Familiarity with finance tools like Ramp and compliance software like Drata is a plus.
