Responsibilities include, but are not limited to:
Executive Support:
- Provides overall administrative support to the CEO.
- Serve as a primary point of contact between the CEO and internal/external stakeholders, handling communications with discretion and professionalism.
- Manage the CEO’s voicemail, email and calendar, including scheduling, confirming, and prioritizing appointments to align with strategic objectives.
- Coordinate and prepare meeting materials, agendas, and presentations for CEO meetings, ensuring thorough follow-up on action items.
- Draft, proofread, and edit correspondence, reports, and documents on behalf of the CEO.
- Conduct research and gather information for reports, presentations, and special projects as directed by the CEO.
- Handle confidential and sensitive information with discretion.
Travel Coordination:
- Oversee enterprise-wide travel logistics, including flights, accommodations, transportation, and itinerary planning for executives and team members.
- Ensure that all travel arrangements align with budgetary guidelines and company policies.
- Work closely with the CEO and other stakeholders to anticipate and respond to travel needs, changes, or unexpected issues.
- Maintain and update travel records, documentation, and expense reports.
- Identify and implement improvements in travel coordination processes to enhance efficiency and cost-effectiveness.
Administrative Duties:
- Collaborate with team members to organize, maintain, and update files and records, ensuring they are accessible and aligned with company policies.
- Partner with colleagues to support general office management responsibilities, including coordinating company events and building relationships with vendors.
- Contribute to the planning and execution of special projects, company events, and other team initiatives, fostering a sense of shared ownership and purpose.
- Act as a dependable resource for executives and staff, providing administrative support to enhance team efficiency and achieve collective goals.
Qualifications:
Education/Experience:
- Bachelor’s degree in Business Administration, Communications, or a related field preferred but not required. 5+ years as an Executive Assistant, Office Manager, or in a similar administrative role, preferably in a high-paced corporate environment; or a combination of education and experience.
Skills:
- Strong organizational and time-management abilities, with a keen eye for detail.
- Exceptional verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and experience with calendar management tools.
- Familiarity with travel management software or services is a plus.
- Ability to handle multiple priorities and adapt to changing demands with professionalism.
- Discretion in handling confidential information and sensitive issues.
