Overview:
The Executive Assistant is responsible for providing administrative and operational support to the CEO and members of the Leadership Team, enhancing management of internal operations, team dynamics, and strategic projects.
Main duties and responsibilities:
- Manage the CEO’s calendar meticulously, handle expense reporting, draft confidential correspondence, plan complex travel arrangements and itineraries, and prepare briefing materials for travel engagements. Ensure the CEO’s schedule is efficiently managed and adhered to, respecting time and commitments.
- Perform gatekeeping duties to facilitate efficient access to the CEO’s time.
- Maintain close communication with the Leadership Team to anticipate needs and prepare for upcoming commitments and responsibilities.
- Support the CEO and Leadership Team in nurturing relationships with key external and internal contacts.
- Oversee daily office functions, manage correspondence, and organize general executive travel and agenda.
- Facilitate internal and external meetings and conferences involving the CEO and members of the Leadership Team.
- Assist in the maintenance of the organization’s contact database.
- Serve as backup to the Office Manager, as needed.
- Oversee special projects/tasks as directed by the CEO and members of the Leadership Team ensuring alignment with organizational goals.
Requirements and Qualifications:
- Results-driven and solution-focused.
- Exceptional communication skills, both written and oral.
- Advanced project management and organizational skills.
- Attention to detail and high standards of work.
- Proven integrity and professionalism.
- Bilingual proficiency in English and Spanish; additional languages welcome.
Knowledge and Experience:
- Minimum of 8 years in a similar executive support role.
- Bachelor’s degree in Business, Administration, or a relevant field.
- Advanced proficiency in modern office software and collaboration tools, including MS Office Suite and remote meeting platforms.
