We are looking for a high-performing individual committed to accelerating their career growth by providing executive, personal, and administrative support to our Chief Executive Officer’s office. The ideal Executive Assistant is highly discrete and has experience managing the demands and opportunities associated with the uniqueness of a high net worth household. The selected candidate will be deeply rooted in the CEO's day-to-day activities serving as an executive and personal assistant while also assisting with administrative tasks as needed. The associate will execute administrative tasks, coordinate personal arrangements, oversee travel and experiences, provide support and backup for the Office Manager, and execute special projects.

Responsibilities

CEO -

  1. Manage calendar and scheduling of meetings, events, and appointments.
  2. Answer/respond to calls and messages in a timely manner. Direct phone calls in a friendly and professional manner to recipients.
  3. Monitor emails closely, direct emails to appropriate departments/personnel, respond as appropriate.
  4. Manage incoming and outgoing deliveries, mail, etc.
  5. Perform other duties as assigned or evolved.
  6. Function as administrative support to the company and ensure needs are met and great service is provided.
  7. Bring concerns and solutions to the attention of the CEO as needed.
  8. Receive deliveries; pick up, sort, and deliver incoming mail.
  9. Take inventory of office supplies and order to restock as needed.
  10. Manage the breakroom supplies, dishes, and cleaning as needed.
  11. Bring concerns and solutions to the attention of the Office Manager as needed.
  12. Assist in event planning as needed by the direction of the Office Manager and HR Manager.
  13. Promote a safe work environment and appropriately report any safety concerns.
  14. Perform other duties as assigned or evolved.

Requirements

  1. Bachelor’s degree preferred, 5+ years of experience in lieu of education.
  2. Record of success in improving processes.
  3. Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage lateral and upwards.
  4. Experience with a CRM database is appreciated (e.g., ZOHO, Microsoft BC, or similar).
  5. Experience in bookkeeping, accounting, and Excel as a plus.
  6. Emotional maturity, professional mindset, and the utmost discretion.
  7. Minimum of 2-5 years related experience.
  8. Strong communication skills, both written and verbal.
  9. Ability to lift up to 50 pounds as needed.
  10. Work authorization in the US.
  11. Criminal background check is required.
