Executive Assistant
Tri-Pac, Inc., a contract development and manufacturing company (CDMO) specializing in liquid and aerosol filling for personal care and pharmaceutical marketers, is seeking an experienced Executive Assistant for immediate addition to our fast-growing team. The position is in South Bend, Indiana.
Executive Administrative Assistant Duties

  • Handle all administrative tasks associated with the Senior Management
  • Manage high volume email and prioritize items that require immediate attention.
  • Review and prepare all matters that require Directors' review and approval.
  • Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
  • Compile, transcribe, and distribute minutes of meetings.
  • Create complex and detailed reports ensuring accuracy.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives, committees, and boards of directors.
  • Prioritize incoming issues while maintaining strict confidentiality.
  • Perform general office systems such as ordering supplies, maintaining records management database systems, and performing basic bookkeeping work.
  • Ensure information is available to support decision making.
  • Develop and maintain strong working relationships with internal and external stakeholders.
  • Greet visitors and determine whether they should be given access to specific individuals.
  • Review operating practices and procedures to determine whether improvements can be made in areas such as workflow, reporting procedures, or expenditures.
  • Special projects
  • Other duties as assigned.
Requirements
  • Bachelor’s degree required in Business Administration, Accounting or Science
  • Master’s degree preferred in Science, Math or relevant.
  • 7 years of executive administrative experience in a corporate environment
  • Must have experience supporting the senior leadership team.
  • Ability to work independently or as part of a team with minimal supervision.
  • Must be able to work in a fast-paced dynamic environment.
  • Excellent organizational and interpersonal skills
  • Excellent time management skills and ability to prioritize multiple projects.
  • Proficient in Microsoft Office including Microsoft Project, Sharepoint
