Your Mission: The Executive Assistant II for Operations will provide primary support to the Vice Presidents in Operations, and their teams. This position will provide administrative support for the governing board committees for which the VPs are responsible for managing.

Key Responsibilities:
- Provides exceptional customer service at all levels within the organization, as well as to external stakeholders. Exceptional customer service includes quickly responding to team member issues, all with a polite, empathetic and professional tone and manner.
- Interprets requests and helps implement action. In absence of senior leadership, directs and ensures that requests for action or information are relayed to the appropriate staff member.
- Coordinates, handles, and/or completes recurring projects or one-time projects, as directed by supervisors.
- Screens telephone calls and visitors, ascertaining who can be redirected to subordinate management. Provides information to callers, including key internal or external sources, which requires comprehensive knowledge of organization policies, practices and operations.
- Maintains leaders' calendars, regularly arranging meetings, conferences, and appointments without clearance. Arranges any function support or hotel and travel accommodations for extended trips.
- Prepares special or one time reports, presentation materials, summaries, or replies to inquiries, selecting relevant information from a variety of sources. May assist in the research, analysis and interpretation of data under the direction of management.
- Performs a broad range of administrative support details on a regular basis, requiring initiative and judgment to make independent decisions for which probable errors may have moderate effect on cost impacts or organizational outcomes.
- Take minutes of key meetings and prepare them for publishing.
- Responsible for gathering information and compiling dashboards based on frequency required.
- Types and proof reads correspondence and communications for proper grammar, punctuation, tone and accuracy.
- Creates and maintains accurate and up to date records of office procedures.
- Maintains accurate filing system for use by the department.
- Helps maintain internal websites/portals. Can create and edit forms using Adobe Acrobat Pro, or other similar tools.
- Processes invoices according to budget and allocation codes for review and approval of leaders before sending to accounts payable.
- Maintains operations by following policies and procedures and reporting needed changes.
- Maintains customer confidence and protects operations by keeping information confidential.
- Contributes to team effort by accomplishing related results as needed.
Qualifications:
- Associate's degree or higher preferred.
- Minimum 3 years of experience supporting executive-level (Vice President or C-Suite level) leaders in an administrative support role, preferably in a fast-paced office environment required.
- Strong working knowledge of administrative/specialized business support services as normally demonstrated through three to four years administrative support experience at a progressively responsible level required.
- Possess current or ability to obtain a Level 1 Fingerprint Clearance Card is required.
- Ability to travel in own vehicle, current Driver's license and auto insurance is required.
