The Executive Assistant will provide high-level administrative and communications support to the CEO and the executive leadership team of the Fencing Supply Group (FSG.) The Executive Assistant will interface with both internal and external parties with a high level of professionalism and in a manner that reflects positively on the organization. They serve as liaisons to senior management teams, organize and coordinate executive outreach and internal communication efforts, and manage special projects.
Requirements
Key Responsibilities:
- Manage scheduling, calendars, and meetings for the CEO and the executive leadership team as requested. Organize complex calendars and schedules, resolving any scheduling issues.
- Manage a regular internal communications rhythm for the business, including scheduling town hall meetings, business updates, and distributing other internal messages.
- Provide a professional interface to the board of directors and other external partners.
- Prepare Word, Excel, and PowerPoint presentations, agendas, reports, special projects, and other documents to support the organization's objectives.
- Assist in preparing and managing presentations and decks for the CEO and the Executive Leadership Team.
- Provide overall office management to the Atlanta HQ, including logistics with building management, mail, supplies, and other support as required.
- Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with
- Be responsive to emails/texts/phone calls, with contact outside normal business hours.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- Arrange travel and accommodations for executives. Prepare expense reports.
- Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed in advance.
- Bachelor's degree required
- 5+ years of related experience required in an executive assistant role supporting C-Level executives.
- 3 years of experience creating communication and presentations for organization-wide distribution
- Impeccable professionalism; strong written and verbal communication skills
- Outstanding organization, administrative, and coordination skills
- Ability to manage multiple priorities and operate in a fast-paced environment with people working in multiple locations
- Ability to interface positively and effectively with people throughout the organization, internally and externally.
