Reports to: CEO/Executive Director Salary Range: Competitive; range: $20 to $22.00, based on experience Benefits: Full-time, paid holidays, PTO, and a collaborative team environment Application Deadline: November 9, 2024 Position Overview: Centro de la Familia is seeking a highly skilled and experienced Executive Administrative Assistant to support the CEO/Executive Director. This role will be pivotal in ensuring the smooth and efficient operations of the executive office, managing critical administrative tasks, and providing high-level support. The ideal candidate will have a proven track record in administrative work, strong organizational skills, and the ability to work proactively in a dynamic, mission-driven environment. Key Responsibilities: Administrative Support: Provide comprehensive administrative support to the CEO/Executive Director, including managing their calendar, scheduling meetings, preparing documents, and organizing travel logistics, as well as other staff members as directed by the Executive director Communication: Serve as a liaison between the CEO and internal/external stakeholders, managing communications, drafting correspondence, and handling inquiries with professionalism and discretion. Document Preparation: Create, format, and edit high-level documents, presentations, and reports using Microsoft Office Suite (Word, Excel, PowerPoint, etc.). Ensure that all materials are accurate, timely, and aligned with organizational standards. Data Management & Reporting: Support the CEO in tracking and analyzing data for program outcomes, financial spending, and other key metrics. Generate statistical graphs, charts, and reports to present data clearly and effectively. Project Management: Assist in the management of key organizational projects, ensuring deadlines are met and deliverables are achieved. Provide logistical support for board meetings, donor events, and other executive-led initiatives. Team Collaboration: Work closely with the leadership team, acting as a point of coordination for cross-departmental initiatives. Foster a collaborative, team-oriented environment in alignment with Centro's mission. Event Coordination: Plan and organize meetings, events, and conferences, including preparing materials, coordinating logistics, and ensuring that events run smoothly. File and Records Management: Maintain accurate and confidential records, including board records, HR documents, and key organizational files. Special Projects: Assist the CEO in any special projects that arise, providing research, administrative, or operational support as needed. Highly motivated and willing to occasionally work off hours, weekends, and on rare occasions holidays. Handle all mail including accounts payables and receivables. Other duties as assigned by the Director. Qualifications: Education: Bachelor's degree in business administration, Paralegal Studies, or a related field is required. A paralegal degree or an equivalent combination of education and experience will be considered. Experience: A minimum of 3-5 years of experience as an Executive Administrative Assistant, Administrative Coordinator, or similar role in a fast-paced environment. Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint). Experience in creating spreadsheets, statistical graphs, and detailed reports is required. Language Skills: Bilingual (Spanish/English) preferred but not required. Excellent written and verbal communication skills. High level of professionalism, discretion, and confidentiality. Detail-oriented with the ability to handle multiple priorities. Proactive problem solver with ability to work independently and collaboratively. Experience supporting senior leadership in a nonprofit or corporate setting is a plus.
