Executive Team Administrative Assistant
Position Overview: The Executive Team Administrative Assistant provides essential administrative support to the entire executive team, including the V.P. of Operations and Chief Executive Officer. This highly motivated and organized self-starter will handle a variety of administrative duties to enhance the efficiency of the company's top executives. This is a full-time position requiring support from Monday to Friday.

Executive Team Administrative Assistant
Position Overview: The Executive Team Administrative Assistant provides essential administrative support to the entire executive team, including the V.P. of Operations and Chief Executive Officer. This is a full-time position requiring support from Monday to Friday.
Duties and Responsibilities:
- Calendar and Schedule Management:
- Manage and maintain the executive team's calendar, including scheduling meetings, appointments, and travel arrangements.
- Organize and coordinate company meetings and events, including scheduling, invitations, reservations, and guest accommodations.
- Administrative and Operational Support:
- Contribute to team efficiency by providing both operational and administrative support, including clerical tasks, transportation of company records and supplies, reception, and courier duties.
- Assist in creating spreadsheets and databases for the company.
- Pack and ship company correspondence and materials domestically and internationally.
- Perform additional related tasks as assigned, ensuring readiness to address various needs within the role.
- Communication Management:
- Prioritize the executive team's correspondence and phone communications to facilitate prompt action on critical items.
- Serve as the primary point of contact for internal and external communications directed to the executive team, ensuring timely and appropriate responses.
- Handle email correspondence and manage phone messages for the executive team
- Send company-wide emails on behalf of the executive team as needed.
- Document Preparation and Project Support:
- Prepare, edit, and organize documents for internal and external meetings, presentations, and reports, ensuring accuracy and confidentiality.
- Assist in managing projects and initiatives led by the executive team, coordinating with internal teams and external partners as necessary.
- Provide administrative support for project meetings, including scheduling, transcribing minutes, and developing memorandums.
- Event Coordination:
- Assist in the planning and execution of company events, including liaising with vendors and stakeholders to ensure events align with the company's standards of excellence.
- Coordinate catering for client visits and staff events.
- Assist with logistics for events such as seminars and corporate meetings.
- Travel and Personal Assistance:
- Book business and vacation travel arrangements for the executive team.
- Make restaurant reservations, shop, and run errands as needed.
- Discretion and Confidentiality:
- Handle confidential information with discretion, respecting privacy and maintaining confidentiality at all times.
- Minimum of 5-7 years providing Administrative Support to C-Level Executives.
- Bachelor's degree in marketing, business, communications, or a related field a plus.
- Excellent written and verbal communication skills.
- Keen attention to detail and strong organizational skills.
- Ability to work effectively under tight deadlines and manage projects independently.
- Proactive and able to anticipate needs with resourcefulness in solving problems.
- Demonstrated ability to work in a diverse work environment with excellent people skills and a positive, enthusiastic attitude.
- Strong computer skills, including proficiency in Microsoft Office programs.
