Job Description:
We are seeking a experienced Executive Assistant to support the Chief Operating Officer. The ideal candidate will have at least 4 years of experience supporting senior executives, excellent computer skills (Word, Excel, Outlook, PowerPoint, etc.), outstanding communication and organizational abilities, attention to detail, self-direction, and a strong sense of discretion with a high level of confidentiality.
Responsibilities:
- Maintain the Chief Operating Officer's daily calendar and electronic address book.
- Schedule appointments, arrange conference calls, plan meetings, and organize luncheons.
- Answer the telephone, sort mail, handle subscriptions, and maintain personal, investment, and office files.
- Act as a liaison between the Chief Operating Officer and department managers and staff.
- Prepare internal and external written correspondence, as well as talking points for public presentations.
- Update and maintain two separate databases of properties for analytics.
- Copy and circulate monthly journals.
Qualifications:
- Minimum of 4 years of related work experience, preferably in a real estate or property management firm.
- Proficient computer skills (Word, Excel, PowerPoint, Outlook, Adobe, etc.).
- Excellent general administrative and clerical capabilities (typing, filing, answering phones, dealing with outside and inside customers, etc.).
- BA or BS degree.
- Strong communication skills (verbal and written).
- Highly developed planning, organizational, and prioritization capabilities.
- Ability to function effectively in a high-pressure, deadline-oriented work environment.
