Job Description:

We are seeking a experienced Executive Assistant to support the Chief Operating Officer. The ideal candidate will have at least 4 years of experience supporting senior executives, excellent computer skills (Word, Excel, Outlook, PowerPoint, etc.), outstanding communication and organizational abilities, attention to detail, self-direction, and a strong sense of discretion with a high level of confidentiality.

Responsibilities:

  1. Maintain the Chief Operating Officer's daily calendar and electronic address book.
  2. Schedule appointments, arrange conference calls, plan meetings, and organize luncheons.
  3. Answer the telephone, sort mail, handle subscriptions, and maintain personal, investment, and office files.
  4. Act as a liaison between the Chief Operating Officer and department managers and staff.
  5. Prepare internal and external written correspondence, as well as talking points for public presentations.
  6. Update and maintain two separate databases of properties for analytics.
  7. Copy and circulate monthly journals.

Qualifications:

  • Minimum of 4 years of related work experience, preferably in a real estate or property management firm.
  • Proficient computer skills (Word, Excel, PowerPoint, Outlook, Adobe, etc.).
  • Excellent general administrative and clerical capabilities (typing, filing, answering phones, dealing with outside and inside customers, etc.).
  • BA or BS degree.
  • Strong communication skills (verbal and written).
  • Highly developed planning, organizational, and prioritization capabilities.
  • Ability to function effectively in a high-pressure, deadline-oriented work environment.
