We help people who are struggling with homelessness or are at risk of homelessness to achieve self-sufficiency.
Father Bill’s & MainSpring is a growing and dynamic social service agency with particular expertise in emergency and permanent housing, job training and placement, and prevention services for individuals and families in need. Over the next five years, our strategic focus includes an increase in affordable, permanent supportive housing, a more efficient model of care for families experiencing homelessness, commitment to an enhanced delivery model to reduce the need for shelter, and improved community relations in order to achieve these goals. Position Summary:
The Executive Assistant and Board Liaison plays a critical role in supporting the daily operations of the organization, ensuring smooth communication and coordination between the executive leadership, the Board of Directors, and other stakeholders. This position requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with confidentiality.
FBMS has an excellent reputation and strong relationships with funders, nonprofit partners, and community supporters. It also has a longstanding commitment to program and strategic planning, and to evaluation of its performance outcomes and trends. This individual will continue to strengthen, develop, and expand this work. The ideal candidate will be a team player, must possess strong leadership and critical thinking skills and facilitate collaboration and communication across multiple internal and external systems and programs.
Duties and Responsibilities:
Provide comprehensive administrative support to the CEO and other senior leadership members.
Manage calendars, schedule meetings, and coordinate travel arrangements.
Prepare, proofread, and edit correspondence, reports, and presentations.
Maintain and organize files, records, and documents, both electronic and physical.
Handle incoming calls, emails, and other communications, responding promptly and professionally.
Serve as a primary point of contact for the Board of Directors, facilitating communication between board members and the organization, particularly as it relates to Board and committee meetings and Board documentation.
Coordinate board meetings, including scheduling, preparing agendas, distributing materials, and recording minutes.
Assist in the preparation of board reports, presentations, and other documentation as needed.
Ensure compliance with governance policies, including maintaining accurate records of board activities, bylaws, and resolutions.
Support board committees by organizing meetings, preparing materials, and maintaining records.
Assist in planning and executing organizational events, including fundraising events, board retreats, and community outreach activities. Coordinate logistics, including venue selection, catering, and audiovisual needs. Manage event invitations, RSVPs, and attendee communications.
Participate in and support special projects as assigned by the CEO.
Conduct research and compile data to support organizational initiatives.
Provide back up to the Front Desk at Belmont Street, assisting with vacation and break coverage.
Requirements:
Associate or bachelor’s degree in business administration, communications, or a related field preferred.
Minimum of 3 years of experience in an administrative support role, preferably in a nonprofit or similar organization.
Experience supporting a board of directors or senior leadership is highly desirable.
Skills & Abilities:
Exceptional organizational and time-management skills.
Strong written and verbal communication skills.
Ability to handle sensitive and confidential information with discretion.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with virtual meeting platforms (Zoom, Teams).
Ability to multitask and prioritize work in a fast-paced environment.
Strong interpersonal skills, with the ability to build and maintain positive relationships with a diverse range of stakeholders.
