Description As an Executive Support Specialist, you will stand as a critical ally to our C-suite executives, providing expansive administrative assistance. This role encompasses the management of executive calendars, coordination of schedules, oversight of travel details, and administration of expense reports via Concur. Additionally, you will coordinate events and undertake a variety of tasks that enhance the productivity of our executive team. Primary Responsibilities: Effectively managing intricate executive timetables, planning appointments, and prioritizing meetings as per necessity. Coordinating and overseeing both internal and external gatherings, making sure all logistical aspects are handled. Supervising both domestic and international travel logistics, including flights, accommodation, and transportation. Creating and submitting expense claims using Concur or a similar expense management system. Assisting in the formulation and revision of documents, reports, and presentations. Handling confidential and sensitive data confidentially and professionally. Arranging corporate functions, meetings, and conferences. Liaising with different departments to facilitate smooth communication and efficient project execution. Actively meeting the needs of the executive team to enhance their productivity. Supervising and prioritizing emails and other correspondences, ensuring prompt responses. Completing miscellaneous administrative tasks and special projects as needed. Requirements Skills and Qualifications: A bachelor's degree or equivalent work experience is preferred. Prior experience in an executive assistant role or similar administrative support role. Proficiency in Microsoft Outlook or similar scheduling software is integral. Experience with Concur or similar expense reporting tools is beneficial. Strong organizational and multitasking skills. Excellent written and verbal communication skills. Keen attention to detail and the ability to maintain accuracy under pressure. The capability to handle confidential information appropriately. Resourcefulness, and proactive problem-solving skills. Skilled in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Prior experience in event planning is advantageous.
