Responsibilities :KRA: Efficiently and Effectively Provide Key Administrative Services to Executive Office:
- Maintains confidentiality of business conversations, correspondence, reports, and records as appropriate.
- Answers telephones and takes messages for executive personnel as assigned.
- Handles tasks that need immediate attention as directed by PRM Executive Office Manager.
- Prepares correspondence, forms, vendor reports, and other documents as assigned.
- Sorts, opens, and routes incoming mail and prepares outgoing mail for delivery to the post office.
- Operates and arranges for the maintenance of office equipment such as fax machines, typewriters, computers, and copiers.
- Assists with proper handling of incoming requests, scanning pertinent client/vehicle information and producing documents and records to Counsel for review before releasing to vehicle manufacturers per request.
- Assists with special projects as assigned by PRM Executive Office Manager and/or Executive Officers.
- Maintains up to date forms and acts as a custodian of Certificate of Insurance forms for all vendors across the group.
- Monitor executive parking space to ensure executives and corporate guests has a parking spot at all times.
- Coordinate with Porters to ensure car washes and fueling of executive automobiles.
- Assist other departments as assigned by PRM Executive Office Manager.
- Provide occasional assistance in travel arrangements for executive personnel and help maintain itinerary records.
- Prioritize tasks and projects efficiently to ensure tasks that need immediate attention are completed.
- Prepare conference rooms and coordinate meal/refreshments as necessary for executive/board meetings.
- Assist with the collection and distribution of customer/legal/manufacturer requests such as scanning and printing.
- Provide support to administrative corporate staff.
KRA: Efficiently and Effectively Provide a Welcoming and Accommodating Executive Reception Area:
- Maintains a neat work and reception area; ensuring it is an accommodating, welcoming and professional environment for corporate guests.
- Maintains all publications at the reception area to be current and accurate.
- Serves as an executive host to guests; offers to make guests comfortable by providing beverages, directions, writing stationary or any materials as needed
- Finds the appropriate space needed for corporate guests intended visit.
- Field all vendors without appointments by seating them and contacting the requested executive to assess if they can take the visit; if not, politely dismiss the vendors while taking down their contact information and message to forward
- Desired: Minimum of 3 years in position of Executive Receptionist or similar positions in industries.
- Required: H.S. Diploma/GED/ or Equivalent
- Excellent interpersonal and customer service skills; at least 2 retail related experience.
- Strong verbal and written communication skills (Bi-lingual in English and Spanish or other language is an asset in this position).
- At least eighteen (18) years of age.
- Required: Current California Driver License with satisfactory Department of Motor Vehicle driving record.
