The Day to Day as a Executive Administrator

Relieves the Chief Executive Officer (CEO) of administrative and tactical functions by managing and resolving a wide variety of complex, confidential situations, and conflicts.

The Executive Administrator is a specialized position requiring the highest level of confidentiality, professionalism and etiquette, communication skills, and attention to detail acting as a reflection of the CEO and Board of Directors.

A typical day will look like:

  • Manage and maintain CEO's schedule. Schedules appointments as appropriate.
  • Acts as liaison between Board of Directors and management team, handling all Board correspondence and records, including meeting agendas and packets, and meeting minutes.
  • Coordinates annual strategic planning meetings at the direction of the CEO.
  • Responsible for confidential and time sensitive material. Prepares routine and advanced correspondence including letters, memoranda, and reports.
  • Open, sort, and distribute incoming correspondence for CEO, Board, and Supervisory Committee, including mail, faxes, and email. Locates and attaches appropriate file to correspondence to be answered by supervisor or other employees.
  • Prepares reports and manages projects as assigned by the CEO.
  • File and retrieve credit union documents, records, correspondence, and reports.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Greet visitors and manage accessibility of executives and other Scott Credit Union individuals.
  • Coordinate travel arrangements for executives and Board.
  • Prepare meeting agendas and organize logistics, such as room setup and coordinating catering for luncheons, for committee, board, and other meetings.
  • Attend meetings as assigned to record minutes. Compile, transcribe, and distribute minutes of meetings.
  • Makes copies of correspondence or other printed matter.
  • Coordinate reference document review with the Document Governance Committee and share information regarding new documents and document changes with Support Services.

To Be Considered, You'll Need:
  • High school diploma or equivalent.
  • Minimum five years of administrative experience.
  • Minimum two years of supervisory experience.
  • Personal computer experience to include Microsoft Office products.
Preferred Qualifications That Could Set You Ahead:
  • Bachelor's degree in business administration or related field.
