BreakForth Solutions is seeking an Executive Administrative Analyst to support our federal customers. In this position, the Executive Administrative Analyst will support the agency’s front office and senior executives over a range of administrative tasks, coordination, and projects. The role provides high-level administrative support by conducting research, preparing statistical reports, and handling information requests, as well as performing routine administrative functions such as preparing correspondence, receiving visitors, arranging conference calls, supporting timekeeping and travel, and scheduling meetings. Federal executive administrative professional experience is a plus.


Essential Functions: 

This role will be responsible for performing tasks such as but not limited to:

  • Work onsite at the agency headquarters location in downtown Washington, D.C. two to three days per week.
  • Calendar management, including scheduling meetings, appointments, and conferences, managing conflicts, and ensuring timely reminders for the executive.
  • Travel arrangements including Booking flights, accommodations, and transportation for official travel, including managing itineraries and necessary documentation, as well as preparing post-travel expense reports.
  • Correspondence management, including drafting and editing letters, emails, and reports, policy documents, ensuring accurate and professional communication, and tracking official documentation through executive processes for executive signature and dissemination.
  • Information gathering including researching and compiling data, preparing briefing materials, and providing relevant information for decision-making, working on things such as FOIA requests and records management activities.
  • Project coordination including managing administrative aspects of projects, including tracking deadlines and progress, assigning tasks, and following up on deliverables.
  • Meeting preparation, including distributing agendas, preparing presentations for an executive-level audience, and ensuring all necessary materials are readily available.
  • Liaison with stakeholders including interacting with internal and external contacts, including other government agency stakeholders.
  • Confidentiality including maintaining discretion when handling sensitive information ownership of projects.

Qualifications 

  • Proven experience as an Executive Administrative Assistant, Senior Executive Assistant, or in other administrative or analyst positions.
  • Excellent written and verbal communication skills, including the ability to effectively communicate with diverse stakeholders.
  • Strong organizational skills and being able to efficiently manage multiple tasks and priorities while meeting deadlines.
  • Excellent attention to detail and ensuring accuracy in all administrative tasks.
  • Expertise in Microsoft Office Suite and other relevant software.
  • Must have proven experience meeting tight deadlines.
  • Ability to manage multiple projects simultaneously.
  • Familiarity with government policies, procedures, and correspondence is preferred.
  • Experience with WebTA, ECATS and E2 Travel is a plus.

Education/Skills/Experience Requirements:

  • Bachelor’s degree from an accredited college/university or equivalent professional experience.
  • Ability to obtain a Public Trust security investigation designation.
  • Must be detail-oriented.
  • Must be able to effectively and professionally interact with internal and external clients. 
  • Ability to work with no supervision.
  • Excellent time management skills.
  • Must be hands-on and take proactive ownership of projects.
