Job Description
We’re hiring an in-office part-time 20-30 hours per week motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented and local to our Downingtown, PA office as this is in an office position. Compensation:$13 - $15 per hour plus Commission
Responsibilities:- Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible
- Participate in training sessions to improve skills with administrative tasks in the real estate industry
- Monitor deadlines and provide notices to appropriate parties when necessary
- Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met
- Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements
- Deliver concierge-level customer service to sellers, buyers, and lenders, to improve customer satisfaction ratings
- Help organize community outreach events to improve our standing in the local area
- Answer and manage the office phone lines, ensuring exceptional communication with clients and team members.
- Distribute incoming mail and manage outgoing correspondence efficiently.
- Deposit checks and maintain accurate records of financial transactions.
- Keep the office tidy and organized, ensuring a welcoming environment for clients and staff.
- Assist with general office duties such as ordering supplies, maintaining inventory, and supporting team members as needed.
- A valid Real Estate License is required for this job
- Either already has or is working towards real estate license
- Previous experience in the real estate industry
- Excellent written and verbal communication skills
- Understands how to utilize a database for processing client information and how to use Microsoft Office to create necessary documents
- High school diploma or equivalent required
- Positive attitude and strong communication skills.
- Detail-oriented and organized with the ability to multitask.
- Team player with the ability to work independently on assigned tasks.
- Honest, straightforward, and ethical in all interactions.
- Strong computer skills, including proficiency in MS Word and Excel.
