Description We are offering an opportunity for an Administrative Assistant Intermediate role in Plano, Texas. The role is focused on managing numerous calendars, scheduling, and providing quality communication in a fast-paced environment. This position will be based in a hybrid model, with a combination of in-office and remote work. This position offers a long-term contract employment opportunity. Responsibilities: Efficiently process and manage multiple calendars, ensuring smooth operations in a fast-paced environment. Schedule client training sessions on Treasury products and manage the coordination of meetings, demonstrating professionalism and confidentiality. Maintain high-quality communication with individuals at all levels of the organization regarding project progress and recommendations/decisions. Update and maintain accurate records across multiple systems, ensuring clear actions taken for future client assistance. Lead, coordinate and execute on internal ad hoc projects as requested, demonstrating excellent organizational skills. Build and maintain strong relationships with key partners including Administrative Support Analysts, Middle Office and Front Office partners. Maintain team calendars and Excel spreadsheets, providing updates and edits to key senior partners as requested. Conduct research on client profiles to ensure accurate training sessions are scheduled. Ensure daily productivity metrics are entered into the appropriate application. Handle a high-production driven environment while maintaining a strong focus on scheduling and managing client training sessions received through various channels such as phone, email, Scheduler tool and MS Teams. Requirements Proficient in executing administrative tasks such as scheduling, calendar management, and managing multiple calendars Demonstrated experience in Microsoft Outlook and Excel spreadsheets Excellent written and oral communication skills in both English and Spanish Proven ability to conduct research and prepare ad hoc reports Experience in financial notes and treasury operations Strong ability to maintain confidentiality in all matters Previous experience in a call center or similar customer service environment Familiarity with production and quality control processes Proficiency in training session facilitation and PowerPoint presentation creation Ability to handle partners relations and project progress tracking effectively Regular and punctual attendance is required A plus if experienced in middle office operations Must adhere to all company policies and procedures.
