Our office in Los Angeles is looking to add a Payroll/Benefits Specialist to our growing team. This position will report to the HR Director. The ideal candidate will be a self-starter who will own and help oversee the payroll and benefits operations for 300+ employees and growing. Our ideal candidate works best in a high growth, dynamic, and entrepreneurial environment and is an effective collaborator with a strong focus on attention to detail.
Responsibilities: Process bi-weekly payroll in ADP for exempt and nonexempt employees in the U.S. Ensure an accurate and timely payroll, including base pay and payroll taxes, 401(k), statutory, supplemental benefits, and research/reconcile payroll taxes from prior periods. Assist with missed punches and timesheet audits. Review and ensure that all non-exempt employee timesheets are approved by managers in a timely fashion and that timesheet data is processed accurately, including calculation of shift differentials and overtime pay. Handle all day-to-day payroll functions, including new hire orientation, new hire paperwork, terminations, direct deposits, wage garnishments, vacation accruals, tax changes, off-cycle checks, and healthcare premium deductions. Apply knowledge of IRS regulations, as well as state taxes, wage and hour laws, and local tax requirements to ensure compliance. Scale payroll processes with a focus on process improvements and system optimization. Monitor payroll-related trends, regulatory updates, and tax changes; drive implementation of policies and processes to ensure compliance and best practices. Ensure the accuracy of all benefits enrollments in the HRIS to provide vendors with accurate eligibility information. Perform quality checks of benefits-related data. Assist employees regarding benefits claim issues and plan changes. Distribute all benefits enrollment materials and determine eligibility. Enroll employees with carriers and process life status changes. Respond to benefits inquiries from managers and employees on plan provisions, benefits enrollments, status changes, and other general inquiries. Process and administer all leave-of-absence requests and disability paperwork: medical, personal, disability, and FMLA. Effectively interpret FMLA and ADA implications as they relate to leaves of absences/disabilities. Respond to 401(k) inquiries from managers and employees relating to enrollments, plan changes, and contribution amounts. Manage the annual catch-up contribution enrollment. Assist with the open enrollment process. Provide necessary reports for allocation/billing charges. Qualifications: Bachelor's degree in Business, Accounting, Finance, or related field preferred. 3-5 years of experience in processing payroll. Extensive knowledge of Federal and California employment law. Self-motivated and able to work independently with minimal supervision. Ability to maintain a high degree of confidentiality. Fundamental Payroll Certification (FPC) or Certified Payroll Professional (CPP) certification preferred. Prior experience with ADP and payroll implementation is preferred. Intermediate knowledge of MS Word, Outlook, and Excel. Ability to operate in a fast-paced, rapidly evolving, and data-driven organization and able to multitask to meet internal deadlines.
