We are looking for the best and brightest talents to join our company and work together to bring the next level of success POSITION SUMMARY The Administrative Assistant (Bi-lingual Chinese) is responsible for providing comprehensive administrative support to ensure efficient operation of the HR office. This role involves managing schedules, facilitating communication, and assisting with various administrative tasks. ESSENTIAL FUNCTIONS Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Manage administrative tasks including but not limited to interaction with vendors & landlords regarding the maintenance of the facilities & parking lots, office equipment & supplies, office & cubicle assignment & relocations, phone lists, business card ordering and distribution, licenses and permits, general liability and auto insurance and etc. Coordinate travel and accommodation arrangements for visitors, out-of-state job applicants and employees as required. Schedule and coordinate Headquarters and Zone meetings upon request. Assist with employee relations and walk-in customers activities in HR office, including addressing their queries and issues, and translation services as needed. Prepare meeting documentation and reports, and provide translation (English-Chinese) as required. Assist in the orientation of new employees and the preparation of related materials. Act as a receptionist during the absence or lunch break of the receptionist at Inc and Plant. Assist with payroll functions by distributing checks to respective functions. Organize and maintain supplies in the HR office. Assist in ad hoc projects, such as volunteer activities, luncheon, corporate events & etc. Perform other duties as required or assigned. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each major responsibility satisfactorily. EDUCATION, SKILLS and EXPERIENCE Minimum A.S./A.A. degree in Business Administration or related discipline from an accredited university/college and a minimum of 3 years of related work experience. Bachelor’s degree is preferred. Must be proficient in Microsoft Office suite – Word, Excel, Outlook & PowerPoint. Strong organizational, time management, critical thinking, and analytical skills. Must be a fast learner with self-motivation and an ability to prioritize and multitask several projects at the same time; follow through and complete the assigned duties on time. Must be proactive, organized and detail-oriented. Strong interpersonal skills with an ability to deal with all levels of employees. Ability to deal with problems involving few concrete variables in complex situation. LANGUAGE SKILLS The individual must be able to speak, read and write both English & Chinese fluently. Bilingual skills (read, speak and write) in Chinese / Spanish is a plus. MATHEMATICAL SKILLS Must be able to apply basic mathematical concepts to perform daily functions. Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percentage and to draw and interpret bar graphs. The noise level in the work environment is light. The position is sited in an office setting but requires sitting at or visiting the plant and warehouse from time to time.
