Position Summary
As the Executive Assistant to the Executive Vice President of our Distribution & Transportation organization, you will play a pivotal role in ensuring the smooth operation of our executive team. You will be responsible for providing comprehensive administrative support, managing critical tasks, and enabling the EVP to focus on strategic initiatives that drive the success of our organization.
Job Responsibilities •Efficiently manage the EVP's schedule, including scheduling meetings, appointments, and travel arrangements. Ensure optimal time allocation for key priorities and deadlines. •Act as a gatekeeper for the EVP by screening and managing emails, phone calls, and other forms of communication. Respond to routine inquiries and escalate important matters promptly. •Prepare agendas, attend meetings, take minutes, and distribute them as necessary. Coordinate logistics for meetings, conferences, and presentations. •Create, edit, and proofread documents, reports, and presentations on behalf of the EVP. Maintain an organized digital and physical filing system. •Planning and coordination of on-site meetings at a variety of locations •Plan and coordinate domestic and international travel, including flights, accommodations, transportation, and itineraries. •Track, manage and ensure timely payment of expenses, ensuring accurate record-keeping and timely reimbursement. •Assist with various projects, including research, data analysis, and coordination with cross-functional teams. •Handle sensitive and confidential information with discretion and maintain a high level of confidentiality. •Additional support for the leadership team as required.
Knowledge •3-5 years directly relevant experience
Skills & Abilities •Excellent & effective communication •Collaborative and works well with others •Tact and discretionary initiative •Excellent critical thinking and problem solving •Highly organized •Highly flexible with strong multitasking and prioritization ability •Detail oriented •Project management experience •Intermediate MS Office experience •Able and willing to learn new software tools and applications.
Education •HS diploma required •Bachelor's degree preferred
