Administrative Assistant

We are seeking a highly motivated Administrative Assistant to join our team! You will provide high-level administrative support for our company!
Work Hours: 7:30 am 5:30 pm Monday to Friday (Weekends, Overtime and Evenings on occasion)
Pay Scale: $23.00/hr to $29.00/hr - Depending on Experience

Responsibilities:
- Answer all incoming calls in a friendly manner and route to appropriate personnel.
- Maintain the reception area in a neat and orderly fashion to include visitor reading materials.
- Maintain the schedule of Service techs and dispatch the technicians as service calls are completed.
- Engage with clients in a friendly and professional manner while actively listening to their concerns.
- Prepare the invoices and timecards for processing
- Greet visitors; arrange conference calls and meetings and manage office supplies.
- Maintain/enter customer data into the system.
- Schedule permit inspections with customers and maintain up to date permit status
- Apply for electrical, mechanical, and other permits as required
- Check in orders from vendors when necessary.
- Other duties as assigned
Required Qualifications:
- Advanced customer service and organizational skills.
- Professional phone skills
- Ability to work independently and be a self-starter
- Geographical knowledge of sales area or map reading skills
- Advanced level skills using Microsoft Office products
- Ability to prioritize and multitask
- Strong attention to detail
- Organized
Desired Qualifications:
- Previous experience as a scheduler, dispatcher, or office coordinator
- Previous experience using QuickBooks is a plus
- College Diploma or equivalent experience
- Previous experience using Service Titan is a plus
