Clayton Services is seeking an Administrative Assistant to join a thriving business in Humble, Texas. The Administrative Assistant will be responsible for completing administrative-related duties under the pressure of strict deadlines. The Administrative Assistant will need to be flexible and have the ability to perform other duties in support of various projects and staff members.
Job Type: Temp-to-Hire
Pay Rate: $18.00-$20.00/hour

Administrative Assistant Duties & Responsibilities:
- Organize and prioritize staff operations and procedures
- Answer phones and maintain billing log of all client contacts
- Coordinate workflow of, interact with, and provide backup support to other assistants
- Schedule appointments and keep a calendar for the President
- Draft, edit, and proofread routine business correspondence and reports
- Receive, send, and distribute faxes, emails, and other correspondence
- Monitor, maintain, and review billing for the President's billable time; work with offsite billing contractor for final output.
- Establish rapport with new clients and maintain connections with current clients for new and existing accounts; obtain required information and other identified materials as needed.
- Manage and maintain client files in a standardized manner, which includes scanning, copying, sorting, filing, and completing the initial checklist for documents, labels, and working paper files.
- Interact with and inform the President of all pertinent communications taking place with clients.
- Review legal/medical files and provide synopsis and history of client
- Review the case list for errors and corrections
- Maintain confidentiality for information
- Maintain and update forms in network files
- Maintain office equipment
- Coordinate office services with offsite contractors (e.g., computer technician, handyman, yardman, etc.)
- Assist staff with special projects, including distribution of information, data entry, filing, and research
- Other duties and projects as assigned
- Excellent communication skills, both oral and written (including correct grammar, spelling, editing, and proofreading)
- Computer proficiency, including internet research skills, MS Outlook, Word, and Excel
- Typing 55+ WPM
- Ability to work effectively with a high degree of accuracy despite frequent interruptions
- Ability to follow directions with attention to detail
- Ability to prioritize workload and work independently to meet deadlines and to accomplish the maximum number of tasks daily
- Excellent telephone etiquette
- Ability to maintain the confidentiality of information
- Ability to put clients' needs first and respond to customer requests
- Ability to review all areas of the problem to accomplish the most efficient and customer-driven basis for problem resolution
- High work ethic with attention to being team-oriented in contributing toward the goal of the company
- Knowledge of medical and legal terminology is a plus
- Bilingual in English and Spanish is a plus
- Microsoft Office proficiency
- Previous administrative experience is required
- A High School diploma is required
