Description Overview We are currently looking for an Administrative Assistant to support our Senior IT leadership in Grand Rapids MI. Provides superior administrative support to the Senior IT leadership team that report directly to the Sr. VP and partner with the other Admin Assistants. Scope of the Role Supports the Senior IT leadership team that report directly to the Sr. VP by managing schedules and calendars. Collaborates with other administrative assistants and business colleagues to arrange and prioritize meetings, resolve schedule conflicts, and coordinate meeting logistics. Assists in preparation, organization and distribution of communication, agendas, presentations, and reports. Maintain confidentiality and discretion working with sensitive meeting topics and confidential correspondence and documentation. Arranges domestic and international business travel. Manages the expense reporting process for Senior VP. Coordinates meeting and event activities for the IT Department and work closely with the other assistants on a variety of special projects associated with the Executive Committee. Completes tasks related to the onboarding and exit of Senior IT employees. Maintains contact lists, email distributions, organizational charts, seating maps and meeting attendee lists. Processes purchase requests and invoices for the department using Perrigo purchasing card/travel card, SAP and other systems. Serve as a liaison for the internal communication team with distribution of company communication both internally with employees and externally with our shareholders as backup to other executive and administrative assistants in the NAHQ offices to provide support to other members of the Executive team including Perrigo Board members as needed. Works as a team with the other executive assistants to initiate continuous improvement efforts and to ensure smooth daily office operation. This position will reside in our North American Headquarters in Grand Rapids and work out of our Allegan office as needed. Experience Required Requires high school degree or equivalent, AS degree in appropriate field desired. Five-seven years administrative experience in a professional environment, with at least 3 years supporting senior leadership preferably in a publicly-held company. Intermediate to expert level PC skills including MS Office (Word, Excel, Outlook, and PowerPoint) and familiarity with SAP and web-based travel software. Experience with virtual meeting platforms and scheduling systems. Ability to work independently with minimal supervision. Excellent written and verbal communication skills. Must maintain a high level of professionalism, confidentiality, and discretion. Active listener who can anticipate, adapt and improvise to reach an optimal result. Can effectively prioritize and complete multiple tasks and projects simultaneously, with a strong attention to detail. Maintains outstanding quality and timeliness.
