Position Summary

H&S Energy Group is looking for a pleasant and friendly Administrative Assistant to join our Tillamook OR office team. Our ideal candidate for this role is an enthusiastic professional who appreciates a challenge. While performing various administrative duties, we will depend on your pleasant demeanor and beaming smile to serve as the first point of contact for customers, vendors, job seekers, and other visitors to the office. Responsibilities and Duties:

  • Welcome and direct guests, providing them with a positive first impression.
  • Operate the company’s phone system to route incoming calls to the proper location.
  • Provide excellent customer service through sales, ordering, invoicing, payment processing, and answering billing questions.
  • Manage digital and hard copy filing and data entry.
  • Process transactions and issue cards for the company’s card lock system, including programming products and fraud limits, issuing, printing, and shipping cards, fielding calls, and responding to customer emails regarding card lock.
  • Assist customers with loading orders, up to 40 lbs. of product.
  • Maintain the reception area, keeping it clean and free of clutter.
  • Receive and sort mail and packages.
  • Provide administrative and clerical support to all office staff, including acting as backup to other administrative positions as needed.
  • Perform other duties as assigned to help with the efficient functioning of the office and the coordination of communications between employees, outside vendors, and clients.

Education and Work Experience

  • High school graduate, GED, or relevant work experience
  • 2-3 years of related professional experience, preferred
  • Strong skills in Microsoft Office suite, with proficiency in Excel
  • Exceptional written and verbal communication skills, including the ability to communicate with a diverse population
  • Highly organized and detail-oriented
  • High level of confidentiality and professionalism
  • Ability to think critically and problem-solve
  • Ability to pivot and prioritize multiple projects or tasks at once, and meet deadlines
  • Respond with flexibility to urgent or unexpected requests
  • Ability to work both independently and in collaboration with a team
  • Employment contingent upon successful completion of a background screening to the satisfaction of the Company
