The Administrative Assistant will successfully promote and support the mission of CrossFirst Bank by providing administrative support to other departments and functions as needed. This person will be responsible for providing extraordinary service to clients, guests and visitors and serve as a liaison between the Kansas City Bank and the Marketing/Brand Management, Facilities Management and Information Technology teams. Interact with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize a diversified workload.
Responsibilities- Greet clients and guests as they enter the building and provide direction to appropriate team members.
- Assist with coordination of Kansas City Bank events; facilities selection, coordination of third party vendors, catering, invitation/database mail merge management and RSVP tracking.
- Coordinate quarterly Shareholder Board of Advisors meetings.
- Manage the inventory, distribution, guest list for KC's sports and entertainment tickets.
- Answer incoming phone calls and direct to appropriate team members.
- Receive, sort and forward incoming mail and deposits.
- Coordinate pick-up/delivery of express mail services.
- Provide administrative support for all market leaders.
- Schedule and organize meetings, team, and client
- Set up conference rooms for meetings and order lunches as requested.
- Coordinate calendars, plan, and schedule meetings for all market leaders as needed.
- Coordinate and schedule maintenance repairs and assist with routine building necessities.
- Ensure all verbal and written communication originating from the President's office is precise, timely and demonstrates a high degree of professionalism and service.
- Handle occasional confidential and non-routine information, maintaining confidentiality at all times.
- Utilize Bank software to input and submit bank related invoices for payment.
- Prepare monthly expense reports for Market President and other Market leaders when requested.
- Proofread own work for spelling, grammar, and layout, making appropriate changes to ensure accuracy and clarity of final copy.
- File correspondence, process invoices, organize reports, route inquiries to appropriate parties and maintain a high degree of organization at all times.
- Create and develop reports and visual presentations utilizing Microsoft Power Point, Salesforce, or other software, as needed, for any Market leader.
- Plan and organize Bank events, including the Annual Client Appreciation Party.
- Assist with maintaining the Bank, including but not limited to ensuring sufficient office supplies, postage, and refreshments, are always available.
- Utilize all office equipment, telephones, fax machines, computers on a regular basis, including general knowledge of social networking and utilizing technology to its fullest.
- Interact with internal and external clients while providing extraordinary service.
- Develop and maintain trusted, positive relationships with other employees, clients, and vendors.
- Represent the Bank in a highly professional manner at all times.
- Complete job assignments in a professional, timely and efficient manner; organize and prioritize work.
- Maintain confidentiality; adhere to CrossFirst Bank policies and procedures; comply with laws, regulations, and industry best practices.
- Reliable and predictable on-site attendance.
- Demonstrated experience providing C-Level support to senior management in a fast paced, service-oriented environment; banking, accounting, or consulting firm experience preferred.
- Possess in-depth knowledge of office technology and business communication.
- Demonstrated success with communication of professional and accurate correspondence, presentation, and written reports.
- Demonstrated knowledge and experience with office automation equipment, including phones, computers and related software, including expert proficiency with using Microsoft Word, Excel, PowerPoint and Outlook.
- Exceptional organizational skills and demonstrated success in a multi-task environment with attention to detail and follow through.
- Reputation for persistence, flexibility, dependability, and teamwork. Must possess ability to remain calm in the face of changing priorities and work with a sense of urgency.
- Bachelor's degree or equivalent combination of education and/or work experience.
