The department of Medicine has an exciting opportunity for a full-time Department Administrator. The Department Administrator will provide expertise and manage the day to day operations for the Divisions of Myeloma and Transplantation Cell Therapy which include 16 faculty, 23 advanced practice providers. The combined divisions produce annual clinical revenue of approximately $10.2M and approximately 15K ambulatory visits.

CORE JOB FUNCTIONS
  • Provides leadership in developing business strategies and tactics to support the goals of the division and overall, Health System's strategic plans for market growth and development.
  • Heads performance management processes and outcomes for employees and physicians.
  • Guides managers in developing skills in and implementation of performance management practices.
  • Supports professional development of the workforce.
  • Performs needs assessments to determine continuing education needs of staff.
  • Monitors staff and physician satisfaction.
Department Specific Functions
  • Develop short and long-term strategies necessary to improve organizational efficiency, staff development and retention.
  • Analyze operations to identify opportunities for improvement and need for new resources. Develop proposals for staffing changes, and collaborate with the SAO, Department Administrators and central HR to implement solutions
  • Ensure Faculty and Staff comply with UM policy requirements and address violations with Administrators, Division Chiefs, and the Chair (ex. HIPAA, annual trainings, flu vaccines)
  • Provide leadership and direct support for multiple staff and faculty related processes essential to the effective clinical, administrative, education and research operations of the DOM, in accordance with regulatory and institutional guidelines
  • Ensure prompt execution of a variety of staff requests and follow-up with Department Administrators to convey status
  • Manage department wide performance issues- COE, PEPs, disciplinary actions and work collaboratively with HR Partner.
  • Responsible for working with clinical departments to develop job descriptions and prepare paperwork needed for opening of staff positions.
  • Initiate Recruitment of new and replacement staff positions. Serve as primary recruiter for senior leadership positions
  • Evaluate appropriateness of requests for reclassifications and salary adjustments and support preparation of required documentation
  • Develop and provide training to new administrators and leaders on UM policies and procedures to ensure best HR practices
  • Develop and maintain DOM and Division specific procedures to ensure consistency with Institutional Policies (ex. Time and Attendance)
  • Review and approve BJFs for certain transactions with delegated authority by SAO (ex. Overload payments)
  • Maintain DOM listservs
  • Serve as Workday expert to assist with Supervisory Organization Changes and resolve other issues that arise
