JOB TITLE: Office Manager

LOCATION: Buffalo, NY

FLSA: Non-Exempt

$24/hr. and up starting pay, based on experience!

POSITION SUMMARY:

Reporting to the Regional Director, the Office Manager is responsible for managing and maintaining the day to day physical operations of the Division to include facilities, logistics, purchasing, operation. Acts as a liaison with building management. Manages and maintains all office policies and procedures related to supplies, mail distribution, front desk support, equipment, maintenance, and any other administrative or facility need that impacts the operation.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Supervises any administrative assistants or support staff that directly support the administrative needs of the operation
  • Acts as an administrative assistant for Regional Director
  • Manages and oversees both front desk and mail distribution coverage needs
  • Manages, maintains and oversees all office supply needs for the operation
  • Processes all legal requests & facilitates all requests for appearances
  • Oversees & tracks the expense reimbursement system
  • Oversees all common areas and insures proper stocking and cleanliness, including supply rooms and break rooms
  • Assists scheduling department with payroll & time off approvals
  • Manages the Accounts Payable process. Preparation and submission of all invoices/requests for checks, vendor management. Responsible for reviewing, approving and submission of all expenses related to the Operation office needs
  • Coordinates and oversees all office machine maintenance and supply needs
  • Coordinates and manages all property leases. Serves as primary contact and liaison with Building Management
  • Adheres to all company policies and procedures
  • Manages and organizes all internal and external events

Non-Essential Duties and Responsibilities:

  • Performs other duties as assigned

MINIMUM QUALIFICATIONS:

Education/Licensing/Certification:

  • Bachelors Degree preferred
  • 5 years experience in an office setting
  • Notary Public required within 3 months of hire

Knowledge and Skills:

  • Good working knowledge of Microsoft Office
  • Must have strong organizational skills
  • Effective oral, written, and interpersonal communication skills required.
