Job Description

1. The Executive Administrator is a critical support role reporting directly to the head of the organization. This position is responsible for managing the executive's calendar, coordinating senior leadership meetings, overseeing communication efforts, and ensuring the smooth operation of administrative functions. The Executive Administrator will act as a liaison, organizer, and facilitator within the organization, ensuring that the executive's office operates efficiently and effectively.
2. The Executive Administrator serves as an indispensable partner to the head of the organization, providing high-level support that encompasses a broad range of responsibilities designed to enhance executive efficiency and organizational effectiveness. This role requires a dynamic, highly organized, and discreet professional who can manage complex schedules, coordinate executive communications, and oversee critical administrative functions. The Executive Administrator will facilitate seamless operations within the executive suite, acting as the central point of coordination for internal and external stakeholders. With a focus on strategic support, the Executive Administrator ensures that the executive leadership can focus on critical decision-making and organizational leadership by managing the day-to-day administrative duties with excellence and precision.

Corporate Calendar Management: Organize and maintain the executive's calendar, including scheduling all meetings, setting agendas, sending invites with full details, and ensuring that all preparations are made for successful engagements.
SharePoint Administration: Set up, manage, and maintain SharePoint sites for various organizational needs, with a focus on document management and collaboration. Act as a SharePoint ninja, leveraging the platform to enhance organizational efficiency.
Email and Communication Coordination: Manage the executive's email and other forms of communication, ensuring that messages are prioritized, directed, and responded to appropriately. Organize emails under specific directives and maintain confidentiality.
Oversight of Travel and Expense Management: Oversee all aspects of travel arrangements and expense reporting for the executive and potentially other senior leaders, ensuring compliance with organizational policies and budgetary constraints. Implement and manage processes to streamline travel planning and expense reconciliation.
Meeting and Agenda Organization: Prepare meeting agendas, coordinate logistics, and ensure that meetings are productive. Follow up on action items and hold participants accountable for their responsibilities.
Presentation and Document Preparation: Assist in the preparation of presentations and documents for internal and external meetings, ensuring that materials are polished and convey the intended messages effectively.
Townhall and Event Coordination: Take the lead in organizing townhall meetings and other significant events, coordinating with the AVP of Communications and other stakeholders to ensure seamless execution.
Webex and Chat Group Management: Own and manage communication platforms such as Webex and chat groups, facilitating effective team collaboration and information sharing.
Note-Taking and Reporting: Responsible for taking detailed notes during meetings and calls, and providing comprehensive recaps to ensure all stakeholders are informed and aligned on decisions and action items.
General Administrative Support: Provide overarching support for the executive's office, including project coordination, deadline management, and other administrative tasks as needed.
Education
Required - High school diploma or equivalent or equivalent work experience.
Bachelor's degree in business administration, Communications, or a relevant field.
Experience
Minimum of 3 years of experience in an executive support role, preferably within a corporate environment.
Knowledge, Skills, and Abilities
Physical Requirements & Work Conditions
Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time.
