About this role
This Executive Assistant role will provide comprehensive administrative support to multiple C-suite executives, ensuring smooth operations and enabling them to focus on strategic initiatives. This role requires exceptional organizational skills, the ability to multitask, and a strong sense of discretion and confidentiality.
Your responsibilities
Calendar Management:
Manage complex calendars, scheduling meetings, appointments, and travel arrangements. Coordinate with internal and external stakeholders to ensure seamless scheduling.
Communication:
Handle correspondence, including emails, phone calls, and messages, ensuring timely and professional responses. Draft and prepare documents, presentations, and reports as needed.
Meeting Coordination:
Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items. Ensure all necessary materials and resources are available for meetings.
Travel Arrangements:
Plan and book domestic and international travel, including flights, accommodations, and transportation. Manage travel itineraries and ensure all necessary documents are in order.
Expense Management:
Process and track expense reports, ensuring compliance with company policies. Reconcile credit card statements and manage reimbursements.
Project Management:
Assist with special projects and initiatives, providing administrative support as needed. Track progress and ensure deadlines are met.
Office Management:
Maintain office supplies and equipment, ensuring a well-organized and efficient workspace. Coordinate with other departments to ensure smooth office operations.
Confidentiality:
Handle sensitive and confidential information with the utmost discretion. Maintain strict confidentiality regarding company and executive matters.
Is this you? Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives. Experience in a fast-paced, dynamic environment. Excellent organizational and time management skills. Strong written and verbal communication skills. Proficiency in Google Workspace and Slack. Ability to multitask and prioritize effectively. Strong attention to detail and accuracy. Ability to work independently and take initiative. Strong interpersonal skills and a customer-focused mindset. Proactive and solution-oriented.
