Position description: The Office Manager & Executive Assistant to the CEO is the first point of contact for the office and CEO, and accordingly should be an exemplary and professional representative of the Company’s culture and values.

Key responsibilities

  • Coordinate virtual and in-person meetings with internal and external constituencies for the CEO
  • Draft, review and send communications on behalf of the CEO
  • Assist with research and planning of annual Company retreat
  • Coordinate travel arrangements as requested
  • Provide administrative and office support, such as managing physical mail, updating spreadsheets, creating PowerPoint presentations, and maintaining Corporate Book filing systems in Company’s systems
  • Maintain a neat office environment, keeping it clean and organized, ordering supplies as needed
  • Reach out to department heads to coordinate a weekly schedule of meetings
  • Manage employee appreciation activities as directed (ie, birthdays and anniversaries)
  • Assist with recruiting processes including but not limited to: posting job descriptions, screening resumes, coordinating interviews, tracking updates on a Recruitment Dashboard
  • Assist with onboarding and offboarding tasks as assigned
  • Assist with employee expense report approvals in accordance with Company policy
  • Enter vendor invoices into QuickBooks and set up payments in the banking system
  • Set up quarterly rebate payments in the banking system
  • Deposit checks and receive payments in QuickBooks
  • Set up and customer invoices in QuickBooks
  • Other duties as assigned
Requirements:

Qualifications and Skills

  • Ability to display professionalism and flexibility in a fast paced, ever-changing environment
  • Excellent technical skills in Google Work products (Docs, Drive, Slides) and Microsoft (Word, PPT, Excel)
  • Experience navigating executive calendars and schedules
  • Excellent interpersonal skills
  • Strong verbal and written communication skills
  • Ability to proactively problem solve
  • Must be able to act proactively and independently, recognizing needs before directed
  • Ability to maintain strict confidentiality is required
