An asset management firm in Manhattan is seeking a temp to perm Executive Assistant to support a senior executive and their team. The ideal candidate will have experience supporting C-level executives, preferably in financial services, and possess exceptional organizational and communication skills.


Hybrid schedule, 4 days on-site, Fridays remote


Hours: 8:30 am - 5:30 pm


Pay rate: $40-50/hr


Responsibilities:

  • Manage complex executive schedules, organizing meetings, appointments, and events across multiple time zones
  • Act as the main liaison between the executive and internal/external contacts, managing emails, calls, and requests
  • Prepare and organize materials for meetings, ensuring follow-up on key action items and deadlines
  • Coordinate both domestic and international travel logistics, including flights, accommodations, and necessary documentation
  • Oversee expense management for executives, ensuring accurate reporting and timely reimbursement
  • Maintain confidential files and assist with document preparation, reports, and presentations
  • Contribute to the planning and execution of special projects, tracking progress and ensuring deadlines are met
  • Assist with organizing internal and external events, conferences, and team activities
  • Provide general administrative support and assist with ad-hoc tasks as needed


Requirements:

  • 5-10+ years of experience as an Executive Assistant, supporting senior leadership
  • Experience in financial services or a similar professional services environment is preferred
  • Strong ability to multitask and prioritize in a fast-paced, high-pressure setting
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and virtual communication tools
  • High level of discretion and confidentiality in handling sensitive information
