We're seeking an Office Administrator for an industry-leading Am Law firm to oversee operations at their vibrant New York City office. This role involves managing day-to-day functions and collaborating with office partners, direct reports, and key personnel to ensure outstanding customer service and administrative support. With a focus on office management spanning various areas including facilities, services, and administrative staff supervision, this position offers high visibility and opportunities for impactful leadership.
Office Operations & Management:
- Liaise with building management for maintenance needs and security services.
- Lead and develop office operations, including facilities, reception, and administrative staff.
- Ensure office maintenance and emergency preparedness plans adhere to firm-wide standards.
- Manage on-site vendors, including catering for events.
- Coordinate office moves and workspace setup.
- Ensure office compliance with regulations and safety standards.
- Conduct team meetings for training and morale building.
- Manage office expenses and budget maintenance.
- Address office space, procedural, and event planning issues.
Facilities Management:
- Maintain office assignment records and procure furniture items as needed.
- Conduct monthly office inspections for repairs and maintenance.
- Ensure a clean, safe, and functional office environment.
- Coordinate ergonomic evaluations and safety training.
Secretarial Workflow and Assignment Coordination:
- Manage corporate secretaries/executive assistance.
- Coordinate secretary workflow and assignments based on guidelines.
- Maintain accurate records in Workday.
Office Engagement and Culture Champion:
- Promote collaboration and working relationships within the office.
- Design and implement initiatives to drive culture change and engagement.
- Organize office events and activities to boost morale and productivity.
- Facilitate engagement for remote employees.
Desired Skills & Qualifications:
- Bachelor's Degree required; 7+ years of supervisory experience in a law firm setting required.
- Strong leadership, client service, and time management skills.
- Ability to prioritize tasks and work independently in a fast-paced environment.
- Excellent communication, organizational, and problem-solving abilities.
- Experience in team building, conflict resolution, and staff supervision.
- Proficiency in software systems and MS Office suite.
