Job Description
RockCreek seeks a dynamic, resourceful, energetic, and detail-oriented director of scheduling. This individual will provide administrative support to the CEO, including scheduling, coordinating travel, and overseeing internal and external communication. This position also acts as a liaison for the CEO with the team, the public, and other high-level officials. The director will oversee all scheduling tasks while coordinating across teams and prioritizing the CEO’s time.
The ideal candidate is highly organized, flexible, able to anticipate change, and open to taking on new projects. The candidate must be a team player who takes initiative, anticipates needs, and adapts to demanding and ever-changing situations.
Specific Responsibilities include:
- Coordinate internal and external multi-participant meetings
- Organize and regularly maintain a complex schedule/calendar for CEO
- Managing phone and email correspondence for CEO office
- Prepares detailed itineraries for the CEO, including important numbers, locations and contact names
- Coordinates scheduling of press, interviews, radio and television time with the Communications Director
- Makes reservations for the CEO’s air travel, ground transportation, and lodging
- Reviews and responds to the CEO’s mail and invitations
- Responds to all invitations, either by written correspondence or by personal telephone call
- Maintains files of invitations that have been declined, accepted, or that are tentative/pending
- Maintains a good working relationship with the CEO, team members, and external visitors
- Works well under pressure and handles stress
- Works a flexible schedule including long hours, nights, and weekends
- Ad hoc projects, events, and requests as needed
