We are looking to add new talent to our growing team! We are currently seeking a Sales Proposal Coordinator to work in a technical support role with highly skilled professionals on diverse project teams in a dynamic environment. This is an excellent opportunity to join a growing group and company and get involved in a variety of projects for a diverse range of clients. This is a full-time position located in our Boston, MA, New York City, NY or Rochester, NY office.
DUTIES/RESPONSIBILITIES
The successful candidate will:
- Lead proposal efforts and internal coordination of company qualifications for RFPs, RFQs, and SOQs.
- Correspond and coordinate proposal materials with primes, subcontractors, and subconsultants.
- Manage and meet diverse teaming opportunities and anticipate sales needs.
- Collaborate with technical staff and lead teaming opportunities that align with the East BU's strategic goals.
- Proactively anticipate and address the sales needs of the East BU to ensure readiness for upcoming opportunities.
- Support the growth of the East BU by streamlining administrative tasks proactively.
- Proactively apply efficient administrative processes to reduce bottlenecks and improve workflow.
- Maintain accurate records and documentation to support sales activities and reporting.
- Handle teaming opportunity requests, rosters, and small Statements of Qualifications (SOQs).
- Prepare and manage teaming opportunity requests, ensuring all necessary information is gathered and submitted on time.
- Maintain and update rosters of potential teaming partners and key contacts.
- Collaborate with technical staff to develop and refine small SOQs to effectively communicate the East BU's capabilities and strengths.
- Enhance Client Account Manager (CAM) sales efforts and boost operational efficiency.
- Provide administrative and logistical support to CAMs to enhance their sales efforts.
- Identify and implement process improvements to increase operational efficiency and effectiveness.
- Collaborate with internal teams to ensure seamless sales operations and needs are met.
- Work closely with internal teams, including technical staff and CAMs, to ensure alignment and coordination of sales activities.
- Facilitate communication and collaboration across departments to meet sales objectives and client needs.
- This position is a hybrid role.
- 1+ years of experience in a Sales Coordination or similar role preferred.
- Bachelor's degree in Business, Marketing, or Communications preferred.
- Experience with all Microsoft Office 365 applications: Word, Excel, PowerPoint, Outlook, as well as MS Teams and Adobe Acrobat DC Pro.
- Proven self-starter with the ability to independently manage tasks and responsibilities.
- Demonstrates initiative in problem-solving and decision-making, ensuring effective handling of challenges with minimal supervision.
- Fast learner with a strong ability to adapt to new challenges and environments efficiently.
- Flexibility to adapt to changing priorities and demands in a fast-paced environment.
- Strong interpersonal skills to build and maintain positive relationships with diverse team members and stakeholders.
- Strong organizational and multitasking skills.
- Excellent time management skills to handle multiple tasks and projects simultaneously.
- Attention to detail to ensure accuracy and completeness in all tasks.
- Strong written and verbal communication skills to effectively convey information and ideas.
- SharePoint experience is a plus.

The salary range for this position in New York City, NY or Rochester, NY is$45,000 - $89,000 annually. Actual compensation will be based upon a variety offactors such as education, related work experience, certificates, skills, andcurrent market conditions. Haley & Aldrich reviews salary ranges eachquarter to assess competitiveness with the market.
