Proposal Coordinator

The Proposal Coordinator will report to the Proposal Manager and also work with the Director of Marketing on proposal and presentation writing, organization, editing, layout, production, and delivery - from concept to completion. This position is based in our Milford, MA office.

Essential Functions

  1. Assume a lead role in preparation of responses to RFQs, RFPs and Interviews in association with the assigned Project Executive and input from various team members.
  2. Proposal tracking and follow-up.
  3. Writing, development, and ongoing maintenance of qualifications materials.
  4. Client Relationship Management system (Cosential) support related to company information, employee resumes and project information.
  5. Maintaining brand integrity and quality control.
  6. Electronic and hard copy file management.
  7. Coordination with other members of the Marketing team to complete additional marketing tasks.
  8. Prepare standard and customized qualifications for new business opportunities.
  9. Prepare interview materials: interview books, boards, handouts, team cards, PowerPoint presentations.
  10. Review and update standards as new project sheets are written, photos taken
  11. Develop and maintain library of boiler plate information
  12. Work with project team members and Marketing Department to create and maintain project information sheets
  13. Work with project team members and Marketing Department to create and maintain resumes
  14. Assist Project Teams in preparation of deliverables to ensure consistency of corporate image

Required Education and Experience
  1. 2+ years of relevant experience in architecture/engineering/construction industry proposal and presentation coordination.
  2. Bachelor's degree, preferably in English, Marketing, Journalism or Communications
  3. Knowledge of a wide range of software (Microsoft Office Suite and Adobe Creative Suite, particularly InDesign).
