Job Description
Alabama State University, College of Education, invites applications to fill the position of Administrative Secretary. The selected candidate will be responsible for assisting with the administrative and secretarial support for the College of Education. The position centers on fostering close professional relationships with students, faculty, staff, parents, and community partners. The Administrative Secretary will work collaboratively with all departments to ensure accurate, appropriate, and timely service through the College of Education, actively participate in the organization's day-to-day operations, completion of assignments and is responsible for decision that regularly relate to highly sensitive matters.
Duties and Responsibilities: Provide confidential administrative support and perform or coordinate secretarial for the dean, Collage of Education Answer incoming communications (e.g. phone calls, emails, correspondences) and direct to appropriate faculty or staff Respond to general questions regarding programs as appropriate Process and respond to initial requests for information Compose letters and memos from general notes, and proofread all materials typed to ensure accuracy File, retrieve, copy, and fax documents as needed Maintain appropriate contact information via an online information/tracking system Compile factual information form files records, publications and other sources, and tabulates this information in accordance with standardized report form Receive, open, sort and distribute mail as directed Coordinate meeting schedules and venue as needed for the college Maintain accurate and current records of departmental purchases, equipment, travel statistical data, daily office activities, daily program activities and appointments Establish and maintain accurate and current files of letters, reports, records and other documentary material, and ensure that information in these files is kept confidential Render administrative assistance as directed in accordance with specific written or oral instructions Prepare requests for office supplies as needed and received such supplies Hire and supervise student workers Perform office management duties, recommends methods for improving office procedures and perform other duties as assigned.
Minimum Qualifications
An Associate degree in Secretarial Science, Office Administration or other appropriate field with one year of administrative or secretarial experience a certificate in Secretarial Science with 2 years of administrative or secretarial experience required.
A typing proficiency exam of 40 net words per minute is also required.
Proficiency exams administered by ASU's College of Education, and state Employment Service Centers are accepted. Proficiency exam results must be submitted to ASU's Office of Human Resources by the closing date of the announcement. Interested applicants must include the following with online application:
