Responsibilities:Support the Executive Team by managing schedules, coordinating meetings, and arranging travel plans as needed.Assist with daily administrative tasks, including composing correspondence, preparing reports, opening and managing mail and filing documents.Conduct research and compile data to assist in the preparation of presentations, financial statements, and other reports.Read and analyze incoming communications, distributing them to the appropriate team members as necessary.Prepare meeting materials, track progress, and accurately record meeting minutes.Serve as a primary point of contact for the organization, answering phone calls, and relaying important information promptly and confidentially.Manage sensitive matters with discretion and confidentiality.Provide Rent Manager tech support to the organization, troubleshooting issues, improving processes and helping as needed.Assist with acquisitions by conducting market studies and preparing reports for review by the Executive Team.Help with the implementation of new productivity software tools.Manage renewals of licenses and permits for all the properties.Manager office including supplies, organization, etc.Review payroll to audit for schedule accuracy and compliance.Liaise with key operational areas to organize new hire training schedules and oversee onboarding.Manage Microsoft Office and Rent Manager user access including email and apps.  Qualifications:Bachelors degree.Excellent communication and interpersonal skills, with the ability to interact professionally with team members and external contacts.Strong organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, with the ability to learn new software systems quickly.Rent Manager experience preferred.CRM experience preferred.Demonstrated ability to take initiative, anticipate needs, and exercise sound judgment.Two years of prior experience working for a property management company. Reports To: Chief Operating Officer and CEO.Core Values: Integrity and Respect.Passionate about servicing our residents.Attention to detail and great service.Can do attitude.Continuous improvement.Teamwork.Problem solving. Job Type: Full-timeSchedule: Monday to FridayPhysical Requirements:This role requires physical presence in the office Monday through Friday.Note:This job description outlines the primary duties and qualifications expected of an Administrative Assistant at Broadview Communities.
