We are looking for a well-organized and proactive Executive Assistant to work closely with and provide assistance to Board’s CEO & CCO, contributing to the efficiency of our business. The main responsibilities will include administrative work as well as scheduling meetings, taking minutes during sessions, producing reports or presentations and making travel arrangements.

Responsibilities
  • Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive’s behalf
  • Act as the point of contact among executives, Board of Directors, employees, clients and external partners
  • Manage information flow in a timely and accurate manner
  • Organizing meetings, including scheduling, sending reminders, and organizing catering when necessary
  • Prepare reports, presentations (investor, Boards, partners) and memos when required
  • Make travel and accommodation arrangements
  • Track daily expenses and prepare weekly, monthly or quarterly reports
  • Format information for internal and external communication – memos, emails, presentations, reports
  • Maintaining professionalism and strict confidentiality with all materials
  • Take minutes during meetings
  • Manage phone calls and distribute correspondence
Requirements
  • 6+ years of experience as an Executive Assistant, Personal Assistant, or similar role
  • Excellent MS Office knowledge
  • Outstanding organizational and time-management skills
  • Excellent verbal and written communications skills
  • Discretion and confidentiality
  • Great interpersonal and communication skills
  • Fluency in additional languages like Italian or Spanish is preferable
