Job Description
The Project Coor HLN serves as the primary customer service liaison between the Health Leaders Network administration and network providers. Facilitates and coordinates the creation and implementation of clinical program committees; helps identify committee objectives and tasks needed to meet HLN goals. Acts as the central point of contact for committees, promoting physician and interdisciplinary staff engagement in initiatives. Performs administrative tasks covering a wide variety of situations involving the clerical and administrative functions of the office.

Qualifications
Experience:
1 year of progressive experience in a healthcare environment, with project coordination and/or management responsibilities.
Education:
Bachelor's degree OR 4 years project management experience leading and/or directing projects OR 4 years management experience.

Responsibilities
Project Coordination
- Facilitates and coordinates the creation and implementation of clinical program committees. Assists in identifying committee objectives and tasks needed to meet HLN goals.
- Acts as the central point of contact for all HLN and clinical program committees, promoting physician and interdisciplinary staff engagement in initiatives. Promotes constant movement toward achievement of goals.
- Works with internal and external parties to organize the various components necessary to initiate, plan and execute projects related to committees. Identifies other HLN staff with needed skills, knowledge and expertise, and facilitates their contribution in support of committee objectives. Coordinates use of staff from other FMOLHS entities as needed to obtain expertise from areas outside of HLN knowledge base.
- Coordinates and schedules meetings, tracks progress and results, and coordinates projects/programs. Develops effective data collection tools and monitors the quality and data integrity of such reports.
- Uses customer interaction experiences as opportunities to recommend and implement process changes to continuously improve efficiency and customer service. Focuses on further developing and integrating tools to increase customer awareness and satisfaction, as well as improve overall system and operating efficiencies.
- Ensures security, integrity, and privacy of data in conjunction with FMOLHS policies and procedures as well as all applicable laws and regulations.
- Assistance is provided to assigned executive(s) in time management, ensuring that meetings begin and end on time, building travel time into schedule, and minimizing interruptions. The assigned executive's calendar is effectively maintained, scheduling and confirming appointments, determining priorities independently or in consultation with executive. Maintains schedules in an orderly manner. Makes all travel arrangements for meetings, trips, and conferences. All necessary arrangements for assigned executive staff, visiting FMOL staff, consultants and other assigned individuals are appropriately arranged to ensure attendance at programs/seminars as required.
- Orders supplies and services.
- Types memorandums, policies, meeting minutes, manuals, letters, forms, procedures, and other general typing as directed. Composes memos, transcribes notes, and researches and creates presentations. Proofs materials for errors and ensures formats and layouts are maintained. All correspondence, records, minutes and other documents are classified, sorted, filed and purged in accordance to policy as evidenced by files kept in an organized manner and easy retrieval of information upon request at all times.
- Presentations and documents are designed, formatted and created using advanced features of MS Office applications (Word, Excel, Power Point). Internal and external presentation and proposals are prepared on behalf of assigned executive(s) within specified deadlines.
- As gatekeeper for the assigned executive, efficiently screens visitors, calls, requests, and inquiries and responds within set timeframes or refers to appropriate party, schedules meeting or call, and contacts are followed up as appropriate. Telephone calls are courteously and accurately handled, and messages given on behalf of the Executive staff as appropriate, as evidenced by lack of customer complaints.
- Performs other duties as assigned.
