Description:

McLean is seeking a Director of Facilities Maintenance who has an interest in leading multiple facilities and a passion for renovating historically significant buildings. Reporting to the McLean Executive Director, Facilities, Planning, and Construction, the Director of Facilities Maintenance is responsible for managing all facets of maintenance and upkeep throughout McLean's campuses and off-site facilities to ensure that the hospital's infrastructure, facilities, and grounds are safe, functional, therapeutic, and maintained to the highest standards.

This position requires a pro-active approach to problem solving; strong leadership to handle multiple teams; and the skills to balance maintenance requirements with efficiency, safety, and compliance. The Director is responsible for supervising plant maintenance and repairs; custodial services; grounds maintenance; skilled trade services; and related contract information for a variety of building types: psychiatric in-patient; residential patient; outpatient therapy spaces; research laboratories; MRI suites; office areas; cafeteria; and ancillary spaces.

The Director of Facilities Maintenance provides technical advice, support, and assistance to senior leadership and clearly communicates repair statuses. In absence of the Executive Director, the Director of Facilities Maintenance provides leadership for Department.

Facility and Campus Operations Management

The Director of Facilities Maintenance is responsible for compliance inspections and adheres to all safety, life safety, and equipment management programs as required by the Joint Commission and other applicable regulatory agencies. The Director balances the demands of campus aesthetics, business resiliency, and available resources with patient, staff, and visitor safety.

Duties include relevant planning, organizing, and running an effective program of operations, as well as implementing a successful corrective and preventive maintenance approach to hospital-owned property and equipment.

Infrastructure and Regulatory Compliance

  • Establishes and maintains full compliance with local, state, federal and all regulations governing hospital facilities, setting high standards of safety and operational integrity.
  • Participates in the review and updating of department policies and procedures.
  • Regulatory Expertise: Provides authoritative guidance on building codes, plant maintenance, licensure requirements, and regulatory compliance relevant to behavioral healthcare and research facilities.
  • Quality Assurance: Conducts regular audits and spot-checks of maintenance work to ensure adherence to Joint Commission, code, and accreditation standards.
  • Documentation Oversight: Maintains accurate and up-to-date Joint Commission documentation for facilities across all McLean sites, ensuring compliance with regulatory reporting requirements.
  • Environment of Care (EOC) Oversight
  • Collaborates with multiple departments to implement methods to validate continuous compliance with the EOC and Life Safety requirements though routine rounding.
  • Identifies and reports EOC findings; documents work orders for those deficiencies.
  • Assists with the summaries of findings, gathering recommendations, noting actions taken, and reports of Performance Improvement activities, and makes recommendations for alteration or repairs.

Preventative- and Corrective Maintenance oversight
  • Establishes and implements Preventive- and Corrective Maintenance programs to ensure campus efficiency and equipment longevity.
  • Follows through on implementation and monitoring as required to keep programs up to date.
  • Recommends improvements for and flags emergent conditions of the physical facilities.
  • Coordinates work to address deficiencies, problems, failures, and user errors.
  • Maintains clear communications with the McLean community.
  • Meticulously coordinates activities to minimize downtime.

Contracted Services and Vendor Management
  • Strategically plans and leads facilities-specific contracted services across McLean properties.
  • Holds vendors accountable for optimal service delivery, smooth integration, and adherence to contractual obligations.
  • Collaborates with Strategic Sourcing / Procurement team and Facilities Financial Analyst to review and manage vendor contracts.

Fiscal Responsibility
  • Collaborates in the prioritization of infrastructure replacement projects, ranking suggestions per operational needs and regulatory requirements.
  • Assists in preparation of non-salary department budget.
  • Monitors budget and estimated spend to stay within budget.
  • Evaluates, reviews, and gives initial approval to all requests for materials, supplies and equipment as governed by budgetary responsibilities.
  • Supervises comprehensive documentation of service contracts to in order to develop strategies of standardization and cost savings; analyzes material costs and proposes cost-saving solutions.
  • Suggests priorities for capital spend based upon current and anticipated infrastructure conditions.

Process Improvement and Efficiency
  • Strategically assists with resolving operating issues related to building systems, plant operations and facility conditions, and ensures follow-up activities.
  • Responds to emergencies, incidents, and shutdowns.
  • Guides supervisors to efficiently allocate resources, reduce equipment downtime, standardize maintenance practices, streamline procedures, and enhance operational efficiencies:
  • Ensure on-call and holiday coverage schedules are current and maintain appropriate levels of coverage including, but not limited to weekends, off-shifts, and trade-specific requirements;
  • Develop and implement shutdown notification protocols to minimize disruption to research and clinical activities; and
  • Drive initiatives to reduce McLean's environmental footprint through sustainable maintenance practices

Campus Participation
  • Committee Representation: Acts as a key Facilities representative on campus committees, contributing insights and initiatives to enhance operational efficiency and safety. Interprets these policies to staff.
  • Serves as the primary campus Facilities contact, swiftly addressing and resolving immediate concerns and operational challenges.

HR Responsibilities

Maintenance Team Leadership
  • Organizes, coaches, supervises, and trains reports to champion a culture of excellence and collaboration in support of safe and attractive facilities.
  • Mentors and directs the Supervisors through strong leadership and guidance to:
  • Review and evaluate work order requests to ensure they are in the best interest of McLean and reports variance to Exec Dir.
  • Ensure employees apply appropriate safety precautions in accordance with department policies and government standards.
  • Develop training schedules / content for trade positions.
  • Models the behavior expected of staff:
  • Takes on-call rotation during non-business hours with other supervisors/managers
  • Other duties as assigned.

Staff and Performance Management
  • Collaborates with HR in the recruitment, hiring, and on-boarding of maintenance staff, ensuring alignment with departmental needs and organizational culture.
  • Maintains accountability for annual competency assessment of staff, recommending corrective action as necessary.
  • Provides staff with performance feedback as well as the opportunity to set and develop goals.
  • Creates an environment conducive to retaining staff, by developing and engaging employees.
  • Implements strategies to improve employee satisfaction, such as involving employees in decision making.
  • Adheres to HR policies and procedures relating to staff management, training, and disciplinary actions.

Professional Development
  • Oversees professional development plans for the maintenance teams, championing continuous improvement and accountability.
  • Works with supervisors to provide ongoing education and mentorship opportunities to create bench strength and succession plans.
  • Stays ahead of current requirements of various regulatory agencies.
  • Implements a training system review and re-teach key preventative maintenance tasks to current team members. A common approach improves overall task efficiency.

Resource Allocation
  • Coordinates efforts to source outside contractors as a supplement to in-house capabilities.
  • Aligns and prioritizes efforts with the Campus Renewal Plan objectives.
  • Identifies gaps in resource availability; coaches supervisory staff to recognize these situations in advance and staff appropriately with internal or external resources.

Qualifications:
Qualifications

Education

  • Required: Bachelor's degree or equivalent in Engineering, Facility Management / Maintenance, Building / Construction Technology; or related field.
  • Preferred: Master's degree or advanced coursework / certificates in one of the areas listed above.
  • This role accepts experience in lieu of a degree.

Licenses and Certifications
  • Certified Healthcare Facility Manager or similar credentials are strongly preferred.
  • Valid driver's license and clean record.


Previous Work Experience

Required:

  • Demonstrated supervisory facility management in a healthcare environment for 5-7 years
  • Technical experience in a healthcare or related environment, 8-10 years.
  • Previous work experience with, or responsibility for a multi-building setting, 8-10 years.

Preferred:

  • Experience working with aging infrastructure, 3-5 years
  • Participate in historic renovations, especially MEP/FP related updates, 3-5 years
  • Background in vendor and contract management: contract (re)negotiations, RFP efforts, etc., 5-7 years.


Knowledge, Skills, and Abilities

A strong candidate possesses healthcare facility-specific knowledge in the following areas:

  • Joint Commission standards
  • Compliance requirements and guidelines for DMH, DPH, OSHA, NFPA, IBC, MWRA / EPA, and other regulatory agencies not specifically listed.
  • Strong technical background with in-depth knowledge of at least one building system: HVAC, fire detection systems, plumbing, electrical, etc.
  • Experience with Honeywell BAS is a bonus

The Director of Facilities Maintenance must be able to:

Must have proven Microsoft Office skills:

  • a proficiency in Word;
  • the ability to work fluidly in Excel (basic formulas, pivot tables, lookups);
  • use Planner / Tasks to complete and/or delegate tasks;
  • Outlook: schedule meetings and maintain an updated calendar; and
  • basic understanding of Teams as a central file sharing tool.
